The Work Eligibility page lists all I-9s for employees who have been onboarded to payroll after I-9 verification was enabled.

From this page, users can:


Security

Permissions related to the Work Eligibility page appear in the permissions tree as follows:

  • Labor

    • Work Eligibility

      • I-9 Form

        • View I-9s

        • Edit I-9s

        • Create I-9s

        • Complete Company Signature


These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

From the Workforce navigation menu, under Team, select Work Eligibility.

Description

Pending Manager Task Count

Number of I-9s that are ready for manager review.

+Create Button

Creates a new I-9.

I-9s can only be created for employees that have been onboarded to a legal entity with I-9 verification enabled but who do not already have an I-9 in R365.

Search

Filters the grid for rows with the entered text in the ‘Employee’ or ‘Legal Entity’ columns.

Table ViewsSave/edit table views.

I-9 Detail Row

Summary details for an employee’s I-9.

Click to open the I-9 form.

Sign Button

Opens the I-9 form for manager review and signature.

This button is only displayed for I-9s in the ‘Needs Manager Signature’ status.

Action Menu

Contains the following actions:

Description

Employee

Name of the employee for the I-9.

Click to open the employee’s employee record.

Legal Entity

Legal entity associated with the employee’s work location.

A separate I-9 must be completed or waived for each legal entity with I-9 verification enabled that the employee works for.

Start Date

Employee’s start date for the legal entity.

Click to change the employee’s start date.

I-9 Status

Status of the I-9 form:

  • Needs Employee Signature - The employee has not completed their portion of the I-9.

  • Needs Manager Signature - The employer has not completed their review and signature portion of the I-9.

  • Waived - The I-9 has been waived and is required to be on file outside of R365.  

  • Closed - Both the employee and employer portion of the I-9 form are completed.

Due Date

Date I-9 is due. I-9s are due three days after the employee’s start date.

Past due start dates are displayed in red text.
