The Prep page is the central hub for managing prep recipes, prep templates, prep settings, and prep sheets. Prep recipes are configured here, and prep sheets are created, tracked, and reviewed from this page. Prep templates and configurations are managed from Prep Settings.

The following actions can be performed from this page:

  • Manage and organize prep recipes and prep templates

  • View, edit, activate, or deactivate prep records

  • Create, review, and track prep sheets for the current day or past days

  • Access the Prep Settings page to configure prep system settings, prep templates, and prep label preferences

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation Steps

  1. Open the Inventory application.

  2. Expand Prep.

  3. Click Prep Sheets.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.

Location Selector

Selects the location for the page. The prep sheets and prep recipes displayed are for the location shown.

Prep Settings

Opens the Prep Settings page.

Start Prep

Opens a dropdown with options to create new prep recipes or start a prep sheet.

When Create prep recipe is selected, the Add Recipes panel will open, where existing R365 recipes can be added as prep recipes.  

When Start prep is selected, the Select Prep Template(s) dialog will open. Select a location and one or more prep templates, then click Start. The new prep sheet opens automatically.

Prep Sheets Tab

Shows all past and active prep sheets.

Prep Recipes Tab

Displays the Prep Recipes grid. These are the list of recipes available to the location.


Prep Sheets Tab

The Prep Sheets tab is where prep sheets are created, tracked, and stored. When it is time to begin prep, restaurant employees open the Prep Sheets tab and create a prep sheet. The Prep Sheet wizard opens and guides the user through the prep sheet process.

Start Prep

Opens the dropdown with options to either create new prep recipes or a prep sheet.

When Create prep recipe is selected, the Add Recipes panel will open, where existing R365 recipes can be added as prep recipes.  

When Start prep is selected, the Select Prep Template(s) dialog will open. Select a location and one or more prep templates, then click Start. The new prep sheet opens automatically.

Today Section

Lists all the prep sheets created on the current day. Use this section to review or continue any prep sheets for the day.

Start a New Prep Sheet

Creates a new prep sheet.

Prep Sheet

Individual prep sheet and its details. The prep sheet card lists the following information:

  • Date

  • Status

  • Location

  • Creation time

  • Number of recipes needed to prep

  • User that created the prep sheet

Past Section

Lists all the prep sheets created prior to the present day. Use this section to review any past prep sheets. See the column details below.

Search

Filters the table for the entered text.

Table Actions

  • Table Views — Saved table filters and column settings. The highlighted view is currently displayed. Click on a view to display the table with the saved filter and column settings.

  • Filter — Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button.

  • Columns — Opens the Columns menu, where table columns can be hidden, shown, and rearranged.

  • Export - Exports the table to a .csv file.

  • Refresh Data - Refreshes the table without changing the view.

Table Columns

The Past table lists all past prep sheets and the following details:

Weekday

Day of the week the prep sheet was created on.

Status

Status of the prep sheet — whether it is printed or not printed.

Recipes

Number of recipes to prep on the sheet.

Created On

Date and time the prep sheet was created.

Created By

User that created the prep sheet.

Modified On

Date and time the prep sheet was last edited or changed.

Modified By

User that last edited or changed the prep sheet.


Prep Recipes Tab

The Prep Recipes tab lists all prep recipes that are available to add to prep templates at the selected location. These are all the recipes that have been added as prep recipes. Clicking a prep recipe opens the prep recipe record.

Table Columns

Column

Description

Name

Name of the prep recipe. The name is hyperlinked to the prep recipe record and opens for users with access.

Available Toggle

Indicates whether the prep recipe is available for use.

  • When toggled off, the prep recipe is inactive. It is unavailable to add to new templates, inactive on existing templates, and unavailable for prep.

  • When toggled on, the prep recipe is active on its associated prep templates and appears on associated prep sheets.

Important Note About Prep Recipes From Purchased Items

For prep recipes that originated from purchase items, the Available toggle is permanently locked once turned off — availability cannot be re-enabled. Prep recipes created from recipe items are not affected.

Prep Station

Prep station assigned to the prep recipe.

Prep Category

Prep Category assigned to the recipe.

Batch Size

The standard batch size of the prep recipe. This is the Batch Qty and Batch U of M as assigned on the prep recipe record.

Inventory U of M

Unit of measure (U of M) used to count the recipe in inventory. On the prep recipe record, this is the Default Count U of M.

Shelf Life

Shelf life as it is on the prep recipe record. This is the length of the time that the prep recipe can be stored before it is no longer usable.

Duration

The amount of time it takes to prepare this prep recipe.

Instructions

Instructions for preparing this prep recipe.

Created On

Date and time the prep recipe was created.

Created By

User who created the prep recipe.

Modified On

Date and time the prep recipe was last edited.

Modified By

User who last edited the prep recipe.
