Prep Settings Page

The Prep Settings  is were all prep-related settings are managed. The Prep Settings page provides access to prep templates, prep configurations, prep stations, and prep categories—the core settings that define how prep quantities are calculated and how recipes are organized on prep sheets.

These settings control how recipes are prepped, the logic behind suggested prep quantities, and how recipes appear on prep sheets when grouped or sorted.

The Prep Settings window opens from the Prep page by clicking the gear button.


Security

The following permissions are associated with the Prep Settings page:

    • Configurations

      • View Configurations

      • Edit Configurations

    • Prep Categories

      • View Prep Categories

      • Edit Prep Categories

    • Prep Stations

      • View Prep Stations

      • Edit Prep Stations

    • Prep Templates

      • View Prep Templates

      • Edit Prep Templates

      • Delete Prep Templates

      • Create Prep Templates

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation Steps

  1. Navigate to the Inventory app.

  2. Open Prep.

  3. Select Prep Sheets.

  4. Click the gear button .

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.



Prep Settings

Button/Field

Description

Prep Templates

Opens the Prep Templates tab, where prep templates can be created and managed. This is the default tab when the Prep Settings are opened.

Configurations

Opens the Configurations tab where prep configurations can be created and managed. Prep configurations apply default settings to prep sheets.

Prep Stations

Opens the Prep Stations tab where prep stations are created and managed. Prep stations are the physical areas or job stations where prep recipes are made.

Prep Categories

Opens the Prep Categories tab where prep categories are created and managed. Prep categories are the type of action required to prepare a recipe.

Page Actions

Take the following actions on the page:

  • Help - Access knowledge base articles or the support center.

  • Minimize/Maximize - Minimizes or maximizes the prep settings page. When minimized, the prep settings page will appear as a half-screen panel. When maximized, the prep settings page will fill the screen.

  • Close - Closes the prep settings page.


Prep Templates Tab

Add Template

Adds a new prep template. This opens the prep template form.

Search

Filters the table for the entered text.

Table Actions

The following table actions:

  • Search - Filters the table for the entered text.

  • Filter - Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button.

  • Columns - Opens the Columns menu, where table columns can be hidden, shown, and rearranged. The number of hidden columns is displayed next to the button.

  • Export - Exports the table to a .csv file.

  • Refresh Data - Refreshes the table without changing the view.

Prep Templates List

List of all prep templates and their details. Read more about the column details below.

Table Columns

Column

Description

Name

List of created prep templates. Clicking a line entry will open the template.

Available for Use Toggle

Whether the prep template is available for use to the assigned locations when starting prep.

  • When toggled on, this prep template and its available items will be available to the assigned locations when they begin a prep sheet.

  • When toggled off, this prep station is unavailable for selection on the prep recipe record.

Locations

Locations assigned to the selected template.

Only the locations assigned to a prep template will have access to use it when creating prep sheets. The available prep recipes on the prep templates will be determined by location access.

Items

The number of prep recipes on the prep template.

Created by

The user who created the template.

Created on

The date and time when the template was created.

Modified on

The timestamp for when the template was last edited.

Modified by

The user who last edited the template.


Configurations Tab

Search

Searches the grid for keywords.

Opens filter options to filter the configurations grid.

Prep Configurations Grid

The list of prep configurations and their details. Read about the columns below.

Menu

Opens the function menu for a configuration.  Menu option(s) include:

  • Edit


Table Columns

Column

Description

Name

List of active configurations. Clicking a line entry will open the configuration.

Locations

Locations assigned to the selected configuration.

Created by

The user who created the configuration.

Created on

The date and time when the configuration was created.

Modified on

The timestamp for when the configuration was last edited.

Modified by

The user who last edited the configuration.

At this time, a single Default Configuration applies to all locations.

Prep Stations Tab

Field

Description

Show inactive

Shows or hides inactive Prep Stations. When toggled on, inactive stations will appear on the list.

Add Station

Adds a new prep station. This will create an empty line on the list to name the new station.

Name

Name of the prep station. This should be where the prep takes place  (bakery, cold prep station, sauté station).

Recipes in use

The number of recipes in use that are assigned to this prep station.

Active Toggle

Activates/deactivates the prep station. When toggled off, this prep station will be unavailable for selection on the prep reciperecord.

Deactivating a prep station that has recipes in use will remove the prep station from the prep recipe(s). The prep recipe(s) will need to be assigned to a new station.

Delete

Deletes the prep station.

A confirmation prompt notes that the prep station is tied to recipes and requests confirmation of the deletion. Deleting removes the prep station from all associated recipes, and each prep recipe must be reassigned to a new prep station.

Prep Categories Tab

Show Inactive

Elect whether to show inactive categories or hide inactive categories. When toggled on, inactive categories will appear on the list.

Add Category

Adds a new prep category. This will create an empty line on the list to name the new prep category.

Name

Name of the prep category. This should be the action taken to prep a recipe (hot prep, chop, defrost ahead, etc.).

Recipes in use

The number of recipes in use that are assigned to this prep category.

Active Toggle

Activates/deactivates the prep category. When toggled off, this prep category will be unavailable for selection in prep.

Deactivating a prep category that has recipes in use will remove the prep category from the prep recipe(s). The prep recipe(s) will need to be assigned to a new category.

Delete

Deletes the prep category.
