Bank Accounts Page

The Bank Accounts page displays all Bank Accounts in the R365 instance. All GL accounts marked as bank accounts appear here and on the GL Accounts page.

From this page, users can:


Security

The following permissions are associated with bank accounts:

  • Banking → Bank Accounts

    • View Bank Accounts

    • View Bank Account Numbers

    • View Routing Numbers

    • Edit Bank Accounts

    • Create Bank Accounts

    • Delete Bank Accounts

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation Menu

  1. Open the Accounting application.

  2. Expand the Banking category.

  3. Select Bank Accounts.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.



Bank Accounts Page - Buttons and Fields

Button/Field

Description

Classic View

Switches the view to the classic Bank Accounts page.

Quick Add

Opens the Add bank account window for adding a new bank account directly from the grid. The dropdown arrow next to + Quick add reveals the Full bank account record option, which opens a new Bank Account record instead.

Views

Saved table filters and column settings. The highlighted view is currently displayed. Click on a view to display the table with the saved filter and columns settings.

  • Default is the standard view and is active by default.

  • All Columns displays all available columns.

  • Incomplete Accounts filters the grid to accounts missing key setup fields and shows a dynamic count badge. Key setup fields include:

    • Routing number

    • Bank account number

    • Bank

    • Location

    • Next check number

  • + View saves the current filter and sort combination as a named custom view; saved views appear in the tab bar.

Table Options

  • Search - Filters the table for the entered text in the following columns:

    • GL Account Name

    • GL Account Number

    • Routing Number

    • Bank

    • Default Location

  • Filter - Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button. 

  • Columns - Opens the Columns menu, where table columns can be hidden, shown, and rearranged. The number of hidden columns is displayed next to the button.

  • Menu - Contains the following additional table actions:

    • Export - Exports the table to a .csv file.

    • Refresh Data - Refreshes the table without changing the view.

    • Row Height - Switches table row spacing between tall, medium, or short. Changes made to the table using this selector apply only while the page is open. To make this setting permanent across all tables, update it in User Preferences.

    • Striped Rows - Enables or disables alternating row colors. Changes made to the table using this toggle apply only while the page is open. To make this setting permanent across all tables, update it in User Preferences.

    • Column Filtering - Turns column filtering on or off. When enabled, filters can be applied directly in the column headers. Changes made to the table using this toggle apply only while the page is open. To make this setting permanent across all tables, update it in User Preferences.

Bank Account Row

The details for an individual bank account.

Select

Selects the bank account for bulk editing in the action bar.

Action Bar

Actions applied to all selected bank accounts.

Edit: Opens the Edit Bank Accounts window where the check format, routing number, bank, and location can be edited. All four fields must be completed before changes can be saved.

Columns

The following columns are available on the Bank Accounts page.

Note About Inline Editing

The following fields can be edited in the grid:

  • GL Account Name

  • GL Account Number

  • Default Location

  • Routing Number

  • Bank Account Number

  • Bank Type

  • Next Check Number

  • Legal Entity

  • Bank

The Edit Bank Accounts permission is required. For more information, see Edit Bank Accounts.

Column

Description

Account Name

Name of the bank GL account in R365, used to uniquely identify the account throughout the system and on related records and reports.

Account Number

Unique numeric (or alphanumeric) identifier assigned to the bank GL account in the chart of accounts, used to organize and reference the account in financial reporting.

Legal Entity

The legal entity that owns the bank account; represents the company or organization responsible for the account and its related financial activity.

Default Location

The default location associated with the bank account; determines which location will use this bank account within the assigned legal entity.

Options in the dropdown are filtered based on locations available for this GL account and the logged in user’s location access.

Last Reconciled Balance

Account balance as of the most recent completed bank reconciliation for this bank account.

Last Reconciled Date

Date of the most recent completed bank reconciliation for this bank account.

Next Check Number

Next available physical check number that will print in the MICR line for checks issued from this bank account; automatically increments each time a check is printed and is not used for R365 Payments transactions.

Bank

Name of the financial institution (bank) connected to this bank account; required when the account is used for ACH, Positive Pay, or R365 payments exports.

Bank Account Number

Bank-provided account number for the bank account, used for ACH and other electronic payment processing and required when the account is used for R365 Payments.

Requires the View Bank Account Numbers permission to view unmasked; displays as ****XXXX for users without that permission.

Bank Name

The name of the bank that will appear on the printed check.

Routing Number

Bank routing number (USA) or transit number (Canada) for the bank account, used to identify the financial institution on checks and ACH files; required when the account is used for R365 Payments.

Modified By

User who last updated or edited the bank account record in R365.

Modified On

Date and time when the bank account record was most recently updated in R365.

Status

Indicates whether the account is complete or incomplete. Complete means all required fields are populated (Location, Bank, Routing Number, Bank Account Number, and Next Check Number). Incomplete means one or more of those fields is missing. Read-only.

R365 Payments

Shows whether this bank account is enrolled in R365 Payments and whether it's active or excluded from vendor payments.

Bank User Name

Inactive field that previously stored an online banking username for direct connections; no longer used with Direct Bank Connections.

Second Signature

Indicates that a second signature image is stored on the bank account record for additional approval purposes; used together with the second-signature line setting but does not itself print automatically on checks.

Second Signature Threshold

Dollar amount at or above which a second signature line is required on printed checks from this bank account; the threshold is applied when the ‘Print Second Signature Line’ option is enabled.

Last Activity Upload

Date of the last bank activity file upload for this bank account to the Bank Activity page.

Created By

User who originally created the bank account record in R365.

Created On

Date and time when the bank account record was originally created in R365.

Add Bank Account Window

Quick Add opens a simplified bank account record that includes a limited set of fields from the full Bank Account record, including:

  • GL Account Number

  • GL Account Name

  • GL Type

  • Legal Entity

  • Bank Account Type

  • Location

  • Bank

  • Bank Account Number

  • Check Format

  • Routing Number

  • Exclude from R365 Payments
