Bank Activity displays transactions that were uploaded via direct bank connection, imported, or transmitted by a BAI connection. Once uploaded, the system matches bank activity to transactions in R365 and allows users to create deposits, withdrawals, and AP payments based on bank-provided data. Matched transactions in Bank Activity are automatically marked as reconciled when a bank reconciliation is created. Learn more about completing the Bank Activity process.


Security

The following permissions are associated with the Bank Activity page:

  • Banking

    • Bank Activity

      • Manage Bank Connections

      • Process Bank Activity

      • Bank Rules

        • View Bank Rules

        • Edit Bank Rules

        • Create Bank Rules

        • Activate Bank Rules

        • Delete Bank Rules

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

Navigation Steps

  1. Open the Accounting application.

  2. Click Banking to expand the folder.

  3. Click Bank Activity.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.



Bank Activity Page

Buttons and Fields

Field

Description

Bank Account Selector

Sets the bank account for the bank activity page.

Bank activity transactions are displayed for the selected bank.

Connection Status

Displays an icon to indicate the bank connection status:

  • Active: There is an established connection to the bank account and activity can be retrieved.

  •  Inactive: There is not an established connection to the bank account and activity cannot be retrieved.

Reconcile Account

Opens a new bank reconciliation for the account selected in the bank account selector (#1).

Rule Vault

Opens the Rule Vault.

Click the arrow to reveal the arrow to open a menu of the following options:

  • Reapply Bank Rules: Applies changes made to bank rules to the bank activity on the page.

    R365 Tip

    Use this option after making changes in the rule vault.

This option is only displayed for users with the 'View Bank Rules' permission.

Retrieve Activity

Refreshes the page and retrieves the last 10 days of transaction details from a direct bank connection.

Click the arrow to open the following menu options:

  • Edit Retrieve Activity Dates: Opens a window where custom bank activity dates can be set.

  • Manage Bank Connections: Opens a connection window where users can add bank connections, link bank accounts, or reestablish bank connections.

    • This option is only displayed for users with the 'Manage Bank Connections' permission.

  • Upload Bank Activity File: Opens a window where users can select the bank account and file type for their bank activity file upload.

  • Undo Bank Activity File Upload:  Opens the Undo FIle Upload window where users select the bank activity upload to be removed.

Last Activity Uploaded

Displays the last date bank activity was retrieved.

Views

Saved table filters and column settings. The highlighted view is currently displayed. Click on a view to display the table with the saved filter and columns settings.

The following views are system defined and cannot be deleted or edited:

  • All Bank Activity: Includes all bank activity in the table with no filters applied and all columns displayed.

  • Unmatched: Filters the table to include only bank activity with a status of unmatched.

    • When selected, the following columns are hidden

      • Rule Applied

      • Matched R365 Transaction

  • Pending Creation: Displays unmatched transactions that match the criteria for a creation rule. These transactions require user confirmation before creation.

    • When selected, the following columns are hidden:

      • Matched R365 transaction

      • Batch Payment

      • Check Memo

  • Matched: Filters the table to include only bank activity with a status of matched.

    • When selected, the following columns are hidden:

      • Potential matches

      • GL Account

  • Excluded: Filters the table to include only bank activity with a status of excluded.

    • When selected, the following columns are hidden:

      • Potential Matches

      • Rule Applied

      • Vendor

      • GL Account

      • Location

      • Matched R365 Transaction

      • Check Memo

Table Options

  • Filter - Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button. 

  • Columns - Opens the Columns menu, where table columns can be hidden, shown, and rearranged. The number of hidden columns is displayed next to the button.

  • Menu - Contains the following additional table actions:

Manage

Click the arrow to open a menu of the following options:

  • Add Transactions: Creates the transaction(s) for the selected row(s) using the location, gl account, and vendor entered.

    • The transaction created will mirror the transaction type.

    • The location and account are required to add transactions.

  • Add transactions and add bank rules: Creates the transaction(s) for the selected row(s) and creates bank rule(s) using the bank activity name, location, and account selected.

    • The transaction created will mirror the transaction type.

    • The location and account are required to add transactions.

  • Exclude: Updates the status of the selected bank activity transaction to excluded.

  • Include: Updates the status of the selected bank activity transaction to unmatched.

  • Unmatch: Removes the match to the R365 transaction and updates the status of the bank activity to unmatched.

    • This option is only available for transactions with a ‘matched’ status.

  • Match: Opens the Matching Panel where users can view, search, and select R365 transactions to match to the selected bank activity.

    • This option is only available for transactions with an ‘unmatched’ status.

  • Delete: Removes the selected activity from bank activity. This action cannot be undone.

Bank Transaction Selector

Selects the bank activity for action.

Select the desired bank activity then use the manage options to complete actions in bulk.

Bank Activity Transaction Row

Displays a single bank activity transaction and it’s associated statuses and quick action options.

Columns

Column

Description

Select Checkbox

Selects the bank activity for action.

Select the desired bank activity then use the manage options to complete actions in bulk.

Date

Date of the bank activity transaction.

Amount

Amount of the transaction.

Negative amounts represent withdrawals from the bank account.

Negative amounts are indicated by parentheses. (E.g. -$100.00 is displayed as ($100.00))

Positive amounts represent deposits to the bank account.

Name from Bank

Name of the the bank activity transaction as received from a bank connection, file import, or BAI transmission.

Type

Indicates whether the transaction is a deposit or withdrawal.

Comments from Bank

Displays any comments or notes associated with the transaction as received from a bank connection, file import, or BAI transmission.

The comment field allows up to 300 characters.

Status

Indicates the status of the bank activity transaction:

  • Unmatched: The bank activity transaction has been paired to an R365 transaction(s).

  • Matched: The bank activity transaction has been matched to an R365 transaction(s). Matched transactions will be autoselected when a bank reconciliation is started.

  • Excluded: The bank activity transaction has been excluded because it does not need to be considered or the associated R365 transaction will be reconciled manually.

Potential Matches

Indicates whether the bank activity transaction has multiple potential matches.

When more than one possible match has been identified, ‘Potential matches found’ is displayed in this column.

Vendor

Vendor associated with the transaction.

GL Account

GL account used to complete the transaction.

Location

The location that will be used:

  • If a transaction is created for the bank activity row.

  • In the rule vault to match bank activity to Rule Vault.

If a default location has been assigned on the bank account record, the location will be populated in this column. The location can be edited when creating manual transactions.

Rule Applied

The rule ID and name of the creation or matching rule that has been applied to the bank activity transaction, if any.

Matched R365 Transaction

Indicates the R365 Transaction(s) the bank activity is matched to.

Batch Payment

Displays the batch payment name if the bank activity transaction is part of a batch payment.

Click the batch payment name to view the batch payment details.

Check Memo

Displays the check memo for matched R365 transactions that include a check memo.

Comments from AP Payment

Displays the AP Payment comments for matched R365 transactions that include an AP Payment comment.

Actions

Lists quick action options for the bank activity transaction. Options available are specific to the status of the bank activity transaction.

Options may include:

  • Add: Creates a transaction for the bank activity row using the location, gl account, and vendor entered.

    • The transaction created will mirror the transaction type.

    • The location and account are required to add transactions.

  • Match: Opens the Matching Panel where users can view, search, and select R365 transactions to match to the selected bank activity.

  • Unmatch: Unpairs the bank activity transaction from the R365 transaction.

  • Exclude: Updates the status of the bank activity transaction to excluded.

  • Include: Updates the status of the bank activity to unmatched,

Tab Selector

Switches between Matching Panel tabs:

  • Find a Match in R365: Displays approved R365 transactions available for matching. From this tab, users search and select the R365 transactions to match to the bank activity.

  • Summary: Displays all transactions selected in the Find a Match in R365 tab. From this tab, users add comments and finalize matches.

# Matches Found

Indicates the number of R365 transactions found that potentially match the bank activity selected.

Select

Selects the R365 transaction for matching.

Resize Panel

Resizes the panel to be wider or narrower.

R365 Transaction Row

Details for the R365 transaction including the date, location, transaction total, and the following information:

  • AP Payment - Vendor - Payment Number

  • Journal Entry - Journal Entry Number

  • Bank Expense - Bank Account - Bank Expense Number

  • Bank Deposit - Bank Account - Deposit Number

The information displayed is dependent on the transaction type. The following information is also displayed if included in the transaction:

  • AP Payments - AP Payment Comment

  • Bank Expense - Check Memo

  • Journal Entry - Detail Line comment

Click the hyperlink to open the transaction.

Amount Remaining to Match

The difference between the bank transaction total and the total of selected R365 transactions. Must be $0 to complete matching.

Switches to the Summary tab for review.

Transaction Information

Displays the transaction information from the selected R365 transaction.

Menu

Opens the menu of the following options:

  • Remove match: Unmatches the R365 transaction from the bank activity.

Comment Box

An optional comment box where users can leave notes for the match.

Amount Remaining to Match

Indicates the amount left to be matched.

Match

Finalizes the match.

This option is only available when the amount remaining is 0.00
