Review Timecards

Timecards are reviewed on the Time & Attendance page. The ‘Missing punches’ and ‘Needs review’ quick filters can be used to display only timecards with errors or alerts.

  • Missing punches - Filter the grid for timecards with:

    • Missing punches

    • Punch overlap

  • Needs review - Filter the grid for timecards with:

    • Schedule variance

    • Overtime

    • Different than scheduled job

    • Automatic clock out suspected

Timecards with missing punches or overlapping shifts cannot be approved and are not included in payroll exports.

Timecards can be edited by opening the associated timecard record. Once reviewed, approving the timecard marks it as ready to be exported to payroll.

Timecards cannot be edited when the pay period for the timecard is closed. To edit a locked timecard, reopen the pay period first.


Security

Users must have the following permission to review timecards:

  • Labor → Time & Attendance → Timecards →  View Timecards


These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Review Issues

Follow these steps to review timecards with issues:

1) Navigate to the Time & Attendance page.

2) Select the location to review.

Only locations that the user has access to can be selected.

3) Select the appropriate day, week, or pay period to review.

4a) To filter for timecards with missing punches and overlapping shifts, click the ‘Missing punches’ quick filter on the right side of the page.

If there are no timecards with punch errors, the ‘Missing punches’ filter is not displayed.

Timecards with ‘Missing punch’ alerts cannot be approved and are not included in payroll exports.

4b) To filter for timecards with overtime, schedule variances, or suspected automatic clock outs, click the ‘Needs review’ quick filter on the right side of the page.

If there are no timecards with overtime, schedule variances, or suspected automatic clock outs, the ‘Needs review’ filter is not displayed.

Timecards with ‘Needs review’ alerts can be approved and are included in payroll exports.

5) To view or edit shift details, click the row for the timecard. (Optional)

6) If the timecard is accurate and does not have punch errors, approve the timecard. (Optional)

Timecards with punch errors (missing punches or overlapping shifts) cannot be approved and are not included in payroll exports.

Once approved, the timecard is ready to be exported to payroll. If a timecard is edited in polled data or manually updated in Time & Attendance, it will be automatically unapproved.

7) Repeat steps 5 - 6 for all timecards with alerts.
