Editing timecard shift details allows managers to correct clock times, job assignments, and earnings so timecards reflect accurate worked hours before payroll processing. Shift edits recalculate earnings and overtime automatically based on configured labor rules.
The shift details can be edited from the timecard page.
Note Before Editing a Timecard
Timecards cannot be edited if the pay period is closed. Reopen the pay period before making changes.
Editing a timecard recalculates earnings and overtime for all shifts in the same work week.
Timecards with employee disputes require dispute resolution before final approval.
Security
Users must have the following permission(s) to edit timecard details:
Labor → Time & Attendance → Timecards → Edit Timecards
These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.
Navigation
Timecard shifts are managed from the timecard record. To open a timecard record:
Open the Timecards page. Workforce → Time & Attendance → Timecards
Select the location for the desired timecard.
Select the appropriate day, week , or pay period for the timecard.
Locate and click the timecard to open the timecard record.

Edit Shift Details
To edit shift details, open a timecard, then follow the necessary steps. All edits are optional, but making any edits requires a Reason for Editing.

Update Job or Job Rate
1) Make desired edits to the employee information. (Optional)
Job
Select a different job if needed.
Only jobs assigned on the employee record are available.
Job Rate
Changing the job automatically updates the job rate to the employee’s configured rate for that job.
Editing the job rate affects only the current timecard and does not update the employee record.

Update Clock-In or Clock-Out Times
1) Make desired edits to Shift clock in or clock out times. (Optional)
Clock-in and clock-out times cannot overlap other timecards.
Selecting a clock-in time before the business day starts or a clock-out time after it ends creates a cross-day shift.
Cross-day shifts appear as two timecards.

If the timecard does not already have earnings, deleting both the clock in and clock out times will delete the timecard. This action cannot be undone.

2) Make desired edits to Break start or Break end times. (Optional)
Existing break times can be adjusted. Or, break times can be added or removed.
To edit a break:
Edit the Break start or Break end times buy editing the time fields
Change whether a break is paid or unpaid by checking/unchecking the Paid checkbox.
Add a break by clicking Add Break.
Delete a break by clicking the trashcan button.

Add or Update Earnings
1) Add or update earnings. (Optional)
System-generated earnings cannot be edited. Manual earnings can be added or adjusted when permitted.

Select a Reason for Editing and Save
1) Select a reason for editing the timecard.
A reason for editing is required once an edit is made on the timecard.
Select a reason from the available list.
Only configured reasons can be selected.
Users with the following permission can edit reasons:
Labor → Punch Edits → Create/Edit/Delete Punch Edit Reasons

2) Click Save to save the timecard without approving it, or click Save + Approve to save and approve the timecard at the same time.
Notes About Save + Approve
If the timecard has an employee dispute, approval is not available until the dispute is resolved.
If the timecard has an incomplete punch, it cannot be approved. The Save + Approve button will be disabled until the incomplete punch is corrected.
