Manage Your Timecards (Mobile)

From the My Timecards screen in the R365 mobile app, employees can review recorded time, pay, and updates. Only shifts worked by the logged in user appear on this screen.

Employees have the option to approve timecards ahead of payroll. If any details of the shift require correction by a manager, such as changing job codes or updating time punches, employees can submit a timecard dispute in the app.

Managers can review and approve or deny timecard disputes via a web browser. Learn more about managing time card disputes on web.


Security

Users must have the following permission to access the My timecards screen:

  • Employee App Access

This permission is granted through the ‘App Access’ checkbox on employee records. Learn more about employee app access.

The My timecards screen is only available when R365 Timecards is enabled, replacing the Time punches screen.


Notifications

  • Employees receive alerts when a manager responds to a dispute.

  • Managers are notified when an employee submits or modifies a dispute.

  • Notifications may appear in-app and via email (depending on configuration).


Review Timecard and Shift Details

Follow these steps to view your timecards:

1) Tap More from the bottom tab bar.

2) Select My timecards.

The My timecards screen will open.

3) Select the desired view; Day, Week, or Pay period.

4) Select the desired date or date range from the date field.

Use the arrows to move forward or back.

Tap the date to open the calendar and select a specific day or range.

5) Review the total hours and the list of worked shifts shown for the selected period.

6) Select a shift to open its details and review recorded time, pay, and audit log.

The Timecard screen will open.


Approve Timecards

Once reviewed, timecards can be bulk approved from the My timecards screen, or individually from the timecard details.

Approved shifts will display the updated status on the My timecards screen and in the timecard details.

  • The “Approve” button does not appear on an approved timecard details screen.

  • A dispute can still be submitted for an approved timecard.


Dispute Timecards

If any details from a shift need to be edited after review, follow these steps to submit a dispute from the timecard details screen.

1) Select Submit dispute from the bottom of the timecard screen.

2) Select the field(s) that need to be edited on the Submit dispute form enter the updated information.

3) Add a note to the scheduling managers explaining the reason for the dispute. (Optional)

4) Tap the Submit dispute button to send the dispute to the scheduling managers.

5) There is a notification that the dispute was submitted, and the timecard details are updated with a summary of the pending dispute.

  • A pending dispute can be canceled by selecting the Cancel dispute button on the timecard details.

  • If a dispute needs to be adjusted, cancel the pending dispute and submit a new one.

6) The My timecards screen shows the shift’s updated status as Dispute pending until it is resolved by a scheduling manager.


Review Timecard Resolutions

When a manager resolves a timecard dispute, the user will receive a notification on their mobile device.

Follow these steps to review manager resolutions to timecard disputes:

1) Tap the notification to navigate directly to the timecard details, or select the updated shift from the My timecards screen.

The updated shift will either have the status Dispute approved or Dispute denied. Use the status quick filters to quickly find the updated shift(s).

2) Review the resolution summary, which includes the date and time of the resolution, the user that resolved the dispute, the change that was made, and any included notes.

3) Tap Ok to acknowledge the dispute resolution.

4) There is a notification that the dispute was acknowledged, and the timecard status is updated to Approved.

If further updates need to be made to the approved shift, submit a new dispute.
