Point of Sale (POS) Items in Restaurant365 represent the individual products, menu entries, and modifiers that flow into the system from a POS platform. These items link what is sold at the register to R365's calculations on menu performance, costing, and inventory usage. They map what is sold in the POS to corresponding menu items in R365 for accurate reporting and operational insights.

When new POS items are imported into R365, they appear unlinked by default. The POS items must be reviewed and mapped to menu items. Multiple point of sale items can be linked to one menu item. This is especially helpful when a menu item has a different name (in the POS) at each location.

Prior to Q1 2026, point of sale items were called menu item links in R365.


Navigation Steps

  1. Open the Sales & Forecasting application.

  2. Expand Menu Items.

  3. Select Point of sale items.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.

Views

Saved table filters and column settings. The highlighted view is currently displayed. Click on a view to display the table with the saved filter and columns settings.

Table Actions

  • Search - Filters the table for the entered text.

  • Filter - Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button.

  • Columns - Opens the Columns menu, where table columns can be hidden, shown, and rearranged. The number of hidden columns is displayed next to the button.

  • Sort - Click a column header to sort the table by that column. Hold Shift and click additional column headers to sort by more than one column.

  • Menu - Contains the following additional table actions:

    • Export - Exports the table to a .csv file.

    • Refresh Data - Refreshes the table without changing the view.

    • Row Height - Switches table row spacing between tall, medium, short, or compact. Changes made to the table using this selector apply only while the page is open. To make this setting permanent across all tables, update it in User Preferences.

    • Striped Rows - Enables or disables alternating row colors. Changes made to the table using this toggle apply only while the page is open. To make this setting permanent across all tables, update it in User Preferences.

    • Column Filtering - Turns column filtering on or off. When enabled, filters can be applied directly in the column headers. Changes made to the table using this toggle apply only while the page is open. To make this setting permanent across all tables, update it in User Preferences.

    • Manage Global Settings - Opens the User Preferences page, where table display settings can be adjusted across the system.

Point of Sale Items Table

List of all point of sale items and their details, including their linked menu item. Read more about the table details below.

Opens the POS systems settings page. This button is only visible to users with the View POS system setting permission.

Table Menu

Opens the table menu options that contains the following:

  • Archived Items - Opens the list of archived POS items.

Column Details

Column

Description

POS Item Name

Name of the point of sale item created in the POS. The POS item name is hyperlinked, and clicking will open the point of sale item record.

Menu Item

The menu item that the point of sale item is linked to. The menu item name is hyperlinked and will open the menu item record.

Type

The type of POS item. This will either be Menu Item, Modifier, or Unknown.

Created On

Date that the point of sale item was created.

Modified On

Date that the point of sale item was last modified or edited.

is Menu Item

Whether the point of sale item is a menu item. When off, the point of sale item will be excluded from the Menu Item Mix report.

Modified By

User that last edited the point of sale item.

Created By

User that created the point of sale item.

POS System

The POS system that owns the item record. This column is hidden by default and can be enabled using the column picker.

Identifier

The matching method used when this item was imported. Possible values: Name, POS ID, PLU, SKU, Barcode. This column is hidden by default and can be enabled using the column picker.


Point of Sale Item Record

Name and Type

The name and type of the POS item of the open record. If a type is available it will either be Menu Item or Modifier.

Identifier

The Identifier tag and banner. This notice indicates the field that is being used as the unique identifier for the POS item. This is set on the POS System Settings.

POS Name

Name of the point of sale item. This name cannot be edited.

Menu Item

The menu item selector that connects the selected menu item to the point of sale item.

Important Note About Changing a Linked Menu Item's Type

Modifier Rules ON

Changing the Menu Item selector to a menu item of a different type can delete existing menu item rules. When this occurs, a confirmation appears: "Change the menu item's type and rules? Linking this POS item will change the type of {item} to Unknown, hide its Modifiers tab, and delete its existing rules, along with any rules on other menu items' records that use this menu item as a condition. Are you sure you want to continue?" Review the affected rules before selecting Continue.

Modifier Rules OFF

When Modifier Rules are off, the system will still prompt a warning before continuing.

Menu Item Toggle

Turns on or off whether the POS item is a menu item. When toggled off, the POS item will be excluded from the menu item reports including:

POS Item Details

Lists the following details for the POS item:

  • POS system associated with the item

  • PLU

  • Barcode

  • POS ID

  • SKU

Status

The status of the POS item. This will be one of the following:

  • Active

  • Archived

Menu

Opens the POS item option menu, which contains the following options:

  • Archive Item / Restore Item - This archives (deactivates) or restores (activates) the POS Item in the system. When the status of the item is Active, this option will be Archive Item. When the status of the item is Archived, the option will be Restore Item.

Save

Saves any changes made to the record.

Close

Closes the POS item record without saving.


Linking Multiple POS Items to a Single Menu Item

In this example, there are two menu items that are the same but use different names (GRILLED CHIKEN and GRILLED CHICK). Both POS menu items will be linked to a single R365 menu item. Linking the two items together will provide a more accurate view of the menu item performance across locations.

To link items, complete the following steps:

1) Decide which menu item (not POS item) will be the main record for reporting purposes. In this example, GRILLED CHICK will be kept.

2) Click the POS item name that is connected to the menu item you will not be keeping.

This will open the POS item record.

3) Click on the Menu Item selector and select the menu item decided on in step 1.

4) Save the POS item record.

FAQ

I linked a POS item to a Menu Item, but it's not showing up in my active Menu Items list. Why?

This is a known issue: a re-polled or newly imported POS item can name-match and create a link to an existing Menu Item that is archived, without reactivating it. The link record is created, but the Menu Item stays archived and never appears in the active Menu Items grid. If you hit this, open the POS item record, check the linked Menu Item's status, and if it's archived, restore it manually or contact R365 Support — this is not something you can resolve by re-linking alone. What does the "Identifier" column actually control?

Identifier shows which field (Name, POS ID, PLU, SKU, or Barcode) R365 uses to match an incoming POS item to an existing record when items are imported or re-polled from the POS. This matching method is configured on the POS System Settings, not on the individual POS item, and it's a common source of unexpected auto-linking (including linking to the wrong or an archived Menu Item) when Name-based matching is used across locations with slightly different naming. What's the difference between the "is Menu Item" column, the "Type" field, and the "Menu Item Toggle" on a POS item record?

Type is set automatically on import (Menu Item, Modifier, or Unknown) and describes what kind of POS item it is. is Menu Item (grid column) and the Menu Item Toggle (on the item record) refer to the same setting — whether the POS item counts toward menu item reporting. When this is off, the item is excluded from reports like Menu Item Analysis, Menu Item Price Analysis, and Product Mix, regardless of its Type or link status.

How do I find POS items that still need to be reviewed and linked to a Menu Item?

New POS items come in unlinked by default, but this article doesn't call out a dedicated filter or view for finding them. Use the Point of Sale Items table's Views or column sorting (for example, sort or filter by the Menu Item column to surface blank entries) to locate unlinked items. If you manage a large POS item volume, especially after a POS migration, review this regularly — unreviewed items with the same underlying dish can otherwise both stay unlinked or attempt to auto-link incorrectly. Can I unlink a POS item from a Menu Item, or only relink it to a different one?

The article only describes changing the Menu Item selector to point to a different Menu Item — it doesn't cover clearing the link entirely. If you need a POS item fully unlinked (not mapped to any Menu Item), open the POS item record and check whether the Menu Item selector can be cleared, or contact Support if it can't be left blank from the UI.
