Manually Enter an Inventory Count (Mobile)

Entering an inventory count records actual item quantities for a specific location. This process takes place on the Inventory Count, Storage Location, and Item Count screens in the R365 mobile app. Entering counts ensures that actual inventory amounts are accurately captured for review and reconciliation.

Multiple users can count at the same time, and, during the count, items can be entered manually or by using a barcode scanner. Learn more about counting with a barcode scanner.

Counts recorded while offline are saved locally and automatically updated once the device regains connection. This supports accurate entry in areas with limited signal, such as walk-ins and wine cellars.

Before entry, the inventory counts must first be created and started. After counts are entered, the inventory count must be reviewed and completed before it can be approved.

During the count, items can be added or removed, as well as reordered to match a shelf-to-sheet flow.


Security

Users must have the following permission to enter an inventory count:

  • Food → Inventory Counts → Edit Inventory Counts → Edit Inventory Counts

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Enter an Inventory Count in Mobile

To enter an inventory count, follow these steps:

1) Navigate to the Inventory screen.

A) Select More from the bottom tab bar.

B) Select Inventory counts.


2) Create and start an inventory count if one has not yet been created.

Counts are typically created by a manager or another user with the Create Inventory Counts permission. Once created, the count is available for entry to all users with the Edit Inventory Counts permission.

3) Tap the desired inventory count to open it.

4) Tap a storage location to open it and begin counting items within that area.

5) Tap an item to open it for counting.

6) Enter the quantity for each available unit of measure.

The calculator supports basic math functions to simplify entry. Use the on-screen keypad to add, subtract, multiply, or divide quantities as needed before tapping Enter.

7) Tap Enter or the forward arrow to move to the next item.

Swipe left or right to move between items; swiping does not save the entered amount.

8) Repeat steps 6 and 7 until all items in the storage location are counted.

9) Add missing items as needed. (Optional)

If an item is not listed, tap Edit in the header to add it. Learn more about adding items to inventory counts.

10) After counting all items in a storage location, select another incomplete storage location from the list to continue counting.

11) Once all items in all storage locations have been counted, review and complete the count.
