The ‘week’ used for labor rules and labor reporting is referred to as a workweek, defined as the 168-hour period starting from the first hour of the first day in a location’s operational week. This structure ensures labor rules are calculated in compliance with FLSA standards. Learn more about how FLSA defines a workweek [dol.gov].

The ‘day’ used for labor rules and labor reporting is referred to as a business day, defined as the 24-hour period beginning at a location’s configured start of day time. Business days affect the dates shown on employee shifts and determine how shifts that cross the start of day are calculated.

Shifts that begin on one business day and end on the next are treated as cross-day shifts. For 24-hour locations or those with overnight crews, setting an appropriate start of day time in R365 can help reduce cross-day shifts. For accurate sales and labor reporting, the start of day time in R365 should match the start of day time in the POS.

Because workweeks and business days are both defined in R365, they often do not align with standard calendar weeks or days.

Example

In this example, the location’s start of day time is 4:00 am and the first day of the workweek is Tuesday.

Cross-Day Shifts

When a shift starts on one business day and ends on the next, it is treated as a cross-day shift.

For many locations, both scheduled and actual shifts fall entirely within a single business day. Employees begin work after the start of the business day and finish before it ends. However, at 24-hour locations or those with overnight crews, it is common for employees to be working across the business day boundary, with shift start and end times falling on different business days.

In Scheduling, each cross-day shift is treated as a single shift for scheduling and employee assignment purposes. Learn more about cross-day shifts in Scheduling here.

In labor reporting, cross-day shifts are split by business day. Labor hours and any overtime are attributed to their respective business days, resulting in more accurate labor estimates for both days impacted by the shift.


Labor Rules

Most labor rules use business days and workweeks as defined within R365 for daily and weekly calculations. This ensures compliance with FLSA regulations. Learn more about how FLSA defines a workweek [dol.gov].

Some labor rules do not use business days for daily calculations. The following labor rules always use calendar days that start at 12:00 am:

  • Minor Rules

  • Clopening Rules (configured as part of Split Rules)

  • Shift Differential Rules


Workweek and Business Day Setup

Workweek Setup

The day that each workweek begins for a location is determined by the day of the week of the start date of the operational year of the associated legal entity. All locations under a legal entity share the same operational year.

The operational year is configured as part of the legal entity’s fiscal year setup on the Fiscal Years page. To configure the operational year, the fiscal year must be created first.

Business Days Setup

The first hour of a business day is defined by the location’s start of day setting. By default, this is set to 12:00 am.

A location’s start of day setting can be viewed on the POS Integration Settings tab of its location record.
