Connection Mapping Page - POS Employee Management Integrations

The Connection mapping page contains the mapping settings for locations, jobs, and employees for a POS employee management integration. This page has the same layout across all POS employee management integrations, including PAR Brink, Toast, and Xenial.

When mapping records, the mapping list can be switched between viewing POS records or R365 records. Typically, viewing the source record list (R365 records) is the most efficient way to complete mappings. Switching the source record being viewed on one tab will change the view for all tabs.

From this page, users can perform the following actions:

POS Employee Management Integrations are currently available only to select Early Adopters with compatible POS systems. Contact your CSM for more information.


Security

Users with the following permission can view and edit POS employee management integration mappings:

  • Administration → Integrations → 3rd Party POS Admin


Navigation

1) Open the Integrations page

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.


2) Under POS, select the desired integration.

3) Click Edit account mapping.

The ‘Edit account mapping’ button is only displayed when the integration has been connected.


Mapping Screen Header

Save button

Saves mappings on the current tab.

Help button

Opens the help menu.

Expand/Collapse button

Toggles fullscreen mode. Expands the screen to fullscreen, or collapses it if it is already expanded.

Close button

Closes the Mapping screen without saving changes.

Locations tab

Displays the mappings for locations.

Location mapping is fixed when the standard POS integration is connected and cannot be edited.

Jobs tab

Displays the mappings for jobs. Here, job mappings can be viewed and edited, and new R365 job records can be created.

Employees tab

Displays the mappings for employees. Here, employee mappings can be viewed, and new employee records can be created.

Synced locations tab

Displays the history for employee syncs between R365 and the POS system.

This tab is only available for Toast integrations.


Locations Tab

Button/Field

Description

Record source toggle

Switches the record source for displayed locations:

  • PAR Brink / Toast / Xenial - Locations from the POS system are displayed. Linked locations are R365 locations.

  • R365 - Locations from R365 are displayed. Linked locations are POS system locations.

Click to switch the record source.

Filters the grid for the entered text.

Opens the filter columns window where users can create and apply filters to the table.

Quick filters

Filters the displayed records based on the following mapping statuses:

  • All - All locations are displayed.

  • Mapped - Only mapped locations are displayed.

  • Unmapped - Only unmapped locations are displayed.

Location row

Location details and mapping.

Locations Grid Columns

Column

Description

Location name

Name of the location as it appears in the source record.

Location code

Location code as it appears in the source record.

Location city

Location city as it appears in the source record.

Location state

Location state as it appears in the source record.

Location zip code

Location zip code as it appears in the source record.

Link location

Location mapped to the source record.

  • When R365 records are displayed, indicates the mapped POS system location.

  • When POS system records are displayed, indicates the mapped R365 locations.

Location mapping is fixed when the standard POS integration is connected and cannot be edited.

Column names will update with R365 or the POS name when the record source is switched.


Jobs Tab

Only R365 job records can be created.

Quick filters

Filters the displayed records based on if they are mapped:

  • All - All locations are displayed.

  • Mapped - Only mapped jobs are displayed.

  • Unmapped - Only unmapped jobs are displayed.

  • Automatched - Only jobs that have been automatically matched as part of the data sync are displayed. This button only appears when records have been automatically matched.

Location selector

Indicates the location associated with the displayed jobs.

A location must be selected to display jobs.

Job row

Job details and mapping.

Unmapped job

Linked job as it appears when unmapped.

  • When R365 records are displayed, the dropdown menu contains POS system jobs.

  • When POS system records are displayed, the dropdown menu contains R365 jobs.

Click to map the associated job.

Automatched job

Job identified in the integrated system as a suggested match during a data sync.

  • Automatched jobs are not mapped.

  • Click to select a different job or create a new job record to be mapped.

  • Click Save in the header above to commit all edits and automatched records.

Mapped job

Linked job as it appears when mapped.

  • When R365 records are displayed, indicates the mapped POS system job.

  • When POS system records are displayed, indicates the mapped R365 job.

Click to change the associated job mapping.

Bulk edit selector

Selects the job for bulk editing.

When one or more jobs are selected, the bulk edit button is displayed in the lower right.

Job Columns

Column

Description

Job name

Name of the job as it appears in the source record.

Job code

Job code as it appears in the source record.

Location

Source location associated with the source record.

Link job

Job mapped to the source record.

  • When R365 records are displayed, indicates the mapped POS system job.

  • When POS system records are displayed, indicates the mapped R365 job.

Click to change the associated job mapping.

Jobs prefaced with ‘Auto-’ indicate the record is automatched. Automatched records are not mapped until saved.

Column names will update with R365 or the POS name when the record source is switched.


Employees Tab

Employee identified in the integrated system as a suggested match during a data sync.

  • Automatched employees are not mapped.

  • Click to select a different employee or create a new R365 employee record to be mapped.

  • Click Save in the header above to commit all edits and automatched records.

Bulk edit selector

Selects the employee for bulk editing.

When one or more employees are selected, the bulk edit button is displayed in the lower right.

Employees Columns

Column

Description

First name

Employee’s first name as it appears in the source record.

Last name

Employee’s last name as it appears in the source record.

Payroll ID

Employee’s payroll ID as assigned in the POS.

Hire date

Hire date as it appears in R365.

Status

Active status for the employee as it appears in the source record.

ID

The employee’s unique ID for the source record.

  • When POS system records are displayed, this is the POS system employee ID.

  • When R365 records are displayed, this is the R365 GUID.

Link employee

Employees mapped to the source record.

  • When R365 records are displayed, indicates the mapped POS system employee.

  • When POS system records are displayed, indicates the mapped R365 employee.

Click to change the associated employee mapping.

Synced Locations Tab

This tab is only available for Toast integrations.

Filter

Filter - Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button.

Refresh

Refresh Data - Refreshes the table without changing the view.

Sync event row

Summary for a single sync between Restaurant365 and the POS system.

Click to open the Sync Location screen with detailed sync information.

Column

Description

Sync status

Status of the sync:

  • Failure: The sync was not successful.

  • Partial Success: One or more employees experienced an error and was unable to sync.

  • Success: All employee information was transmitted successfully.

Synced on

Date of the sync.

Synced by

User who initiated the sync. ‘R365’ is displayed as the user for automatic syncs.

R365 location

The Restaurant365 location associated with the synced data.

Click to open the location record.

Synced Location Dialog Screen

When a sync event row is clicked on the Sync Locations tab, the Dialog screen provides a summary of the synced data. Click a row on the Dialog screen to open the Summary Dialog screen for more details.

Column

Description

Entity type

Identifies the kind of record synced (employee or job).

Entity name

The name of the record impacted by the sync.

Sync action

Indicates whether the record was created or updated during the sync.

Sync status

Status of the sync:

  • Failure: The sync was not successful.

  • Partial success: Some employee information was not transmitted successfully

  • Success: All employee information was transmitted successfully.

Summary Synced Location Dialog Screen

If any data was not synced successfully, the Summary Dialog screen will show the error above the table of changes synced.
