The Rule vault will be enabled for all customers in September 2025 and the option to turn it off will be removed in October 2025.

The differences in the Bank Rules tab and the Rule Vault are explained in the article below.

When the Rule Vault is enabled, the Bank Rule tab is replaced with the Rule Vault screen which is accessed from the Bank Activity page.


Rule Vault Features

Rule Types

The Rule Vault supports two rule types:

  • Matching Rules: Pair imported bank activity to existing R365 transactions based on specific conditions.
    Matching rules can be either system-generated (default) or user-created/custom.

  • Create Transaction Rules:

    • User-created rules that create new R365 bank transactions (deposits or expenses) based on defined conditions.

      • Cash in transactions create bank deposits.

      • Cash out transactions create bank expenses.

Order Applied and Reorder Rules

The Rule Vault includes an Order Applied column that sets the sequence that rules will be applied to bank activity. The Reorder Rules option can be used to change the sequence in which rules are applied.

Create Bank Rules

In the Rule vault, bank rules can be created from scratch instead as well as from example transactions. The New rule button provides options to create a matching rule or a create transaction rule.

Apply Bank Rules to Multiple Bank Accounts

With the Rule Vault, users have the option to apply rules to multiple bank accounts.

R365 Best Practice

The detail location selected applies to all transactions created by the rule.

For organizations with separate bank accounts per location, consider creating individual rules for each location to ensure transactions are recorded accurately.

View Bank Rules

On the Rule Vault screen, users can view bank rules for all bank accounts or use the filter to focus on a specific bank account, location, rule type and more.

Rule Actions

In the Rule Vault, rules are managed from individual rule records and can be copied, edited, marked inactive, or deleted from the associated rule record.


Enabling the Rule Vault

The Rule Vault can be enabled on the Miscellaneous tab of System Preferences.
