QuickBooks Vendor Import Screen

The QuickBooks Vendor Import screen is accessed from the QuickBooks Connection window and displays active vendors from all connected QuickBooks companies. From this screen users select vendors for import.


Security

Users must have the following permission to access the QuickBooks Vendors Import Screen:

  • Accounts Payable → Vendors â†’ Create Vendors

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

Navigation Steps

  1. Open the Admin application.

  2. Expand the Integrations category.

  3. Select Integrations.

  4. Click Connect or Edit in the QuickBooks box.

  5. In the QuickBooks Connection window, click Import Vendors.


QuickBooks Vendors Import Screen

R365 checks vendor names for duplicates and displays an alert when a match is found. The second vendor with the same name is not selected by default.

Import Information

Information about the imported vendors including the number of vendors imported.

Table Views

Saved table filters and column settings. The highlighted view is currently displayed. Click on a view to display the table with the saved filter and columns settings.

Table Options

  • Search - Filters the table for the entered text.

  • Filter - Opens the Filter menu, where filters based on column values can be applied. When filters are applied, the number of conditions is displayed next to the button. 

  • Export - Exports the table to a .csv file.

Vendor Table

The table where vendors are listed for review and selection.

The integration does not import inactive vendors.

Vendor Selector

Selects the vendor for import.

Warning/Alert

Alerts or warns the user of an issue or incomplete data.

Warnings do not prevent vendor import.

Import selected vendors

Creates the selected vendors in Restaurant365.

Vendor Table Columns

All fields in the vendor table are sourced from QuickBooks and are not editable in the table.

Column

Description

Vendor Name

Displays the vendor name as it appears in QuickBooks (vendor display name).

QuickBooks Company

Displays the QuickBooks company the vendor was imported from.

Street address

Displays the street address as it appears in QuickBooks.

Apartment, suite, etc.

Displays apartment, suite, or other additional address information as it appears in QuickBooks.

City

Displays the city as it appears in QuickBooks.

State

Displays the state as it appears in QuickBooks.

Postal code

Displays the postal code as it appears in QuickBooks.

Country

Displays the country as it appears in QuickBooks.

Phone

Displays the phone number as it appears in QuickBooks.

Email

Displays the email as it appears in QuickBooks.

Fax

Displays the fax number as it appears in QuickBooks.

Check name

Displays the ‘Name to Print on Checks’ as it appears in QuickBooks.

1099-NEC

Indicates whether the vendor is 1099-Nonemployee compensation as defined in QuickBooks. This field pulls from ‘Track payments for 1099’ option in QuickBooks.

Payment Terms

Displays the payment terms as they appear in QuickBooks. If the payment term does not exist in R365 the vendor will be created but the payment term will not be assigned.
