The new Payroll Mapping experience is available for early access through R365’s Early Adopter Program.

A new Payroll GL Mapping experience is being introduced in 2026. Payroll GL mappings are moving from the legacy GL Account Mapping page in the Payroll application into the Mapping Tool in a dedicated Payroll Accounts tab.

Existing payroll mappings will be migrated to the new experience where possible, with updated tools for search, filtering, and bulk editing.

This change primarily impacts payroll users who manage payroll GL mapping and payroll journal entries in Restaurant365.

Differences Between New and Legacy Payroll Mapping Experiences

The new Payroll Mapping experience features a refreshed interface on a dedicated tab within the Mapping Tool. Core mapping concepts remain the same, but navigation, layout, and some workflows have changed.

The Legacy GL Account Mapping tool was housed in the Payroll application, while the new Mapping Tool is in the admin application.

In the New Payroll Mapping experience, each payroll code opens in a Payroll Mapping Details screen that shows:

  • Code details (type and name)

  • Mapping type (all or legal entity

  • GL account selections and any legal entity specific options

Payroll mapping was separated from the Accounting mapping experience, and management often required switching between Accounting and Payroll pages.

Legacy GL Account Mapping

The Payroll Mapping Details screen supports:

  • A single default GL account for all legal entities (All), or

  • Different GL accounts by legal entity (Legal Entity), using a multi‑select dropdown

The system prevents duplicate legal‑entity selections within the same record.

Each payroll account generally mapped to one GL account, with more limited options for legal‑entity‑specific mappings.

Finding and Fixing Unmapped Items

Legacy GL Account Mapping

  • The Payroll Mapping grid includes search, filters, and bulk‑edit actions to quickly locate and update unmapped or incorrect items.

  • Validation is designed to prevent saving mappings with blank GL accounts, helping reduce posting errors.

  • When payroll journal entries fail due to unmapped items, messages can link back to the Mapping Tool for resolution.

Unmapped or incorrect mappings were harder to identify, and issues often surfaced only after payroll journal entries were generated and required manual corrections.


Migration of Existing Payroll GL Mappings

For organizations with the new Mapping experience:

  • Existing payroll GL mappings migrate into the Mapping Tool where possible.

  • When multiple mappings exist across legal entities, the migration selects the most commonly used (majority) mapping.

  • Mappings tied to disabled GL accounts do not migrate and appear as unmapped in the new grid, requiring new active GL accounts.


Permissions

The new Payroll Mapping experience includes an update to how permissions are organized.

  • A Mapping Tool permission section has been added under Administration.

  • Payroll GL Mapping permissions are now located under Mapping Tool, and POS Management permissions are limited to the POS Accounts tab.

  • The View Payroll GL Mapping permission controls whether a user can see the Payroll Mapping tab.
