Day parts are configured as day parts groups. Day parts groups control how time segments (such as breakfast, lunch, or dinner) display across R365. These segments define how labor, forecasting, and task data align within reports, dashboards, and scheduling tools. Learn more about day parts and location hours.
Changes to a day parts group apply immediately to all assigned locations. Any schedule views, forecasts, or reports using those locations will update to reflect the new configuration.
From the Day Parts screen, administrators can:
Create new groups to define day part structures.
Change assigned locations.
Configure day part names and time ranges.
Add additional day parts.
Reorder day parts to control how segments display throughout the system.
Delete day parts that are no longer in use.
Managing day part groups ensures that all related areas, such as schedule views, printed rosters, dashboards, and reports use consistent time ranges for forecasting and operational analysis.
Deleting a day parts group permanently removes its configuration and disconnects all assigned locations. Those locations will not have active day parts unless they are reassigned to a new group.
Security
Users must have the following permission to create or edit day parts groups:
Administration → Location Hours → Create/Edit/Delete Day Parts
These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.
Create a New Day Parts Group

Change Locations Assigned to a Day Parts Group
Changing the locations assigned to a day parts group updates how those locations are linked to day part configurations used across scheduling, forecasting, reporting, and task management. When a location is moved to a different group, it inherits the new group’s day part definitions, and the previous group’s configuration no longer applies. This change affects all areas that rely on day part data for that location, including schedule views, printed rosters, forecasting intervals, and operations dashboards.
Follow these steps to change the locations assigned to a day parts group:
Click steps to expand for additional information and images.
1) Open the desired day parts group.
A) Select Admin from the left navigation rail.
B) Under Locations & legal entities, select Location hours.
C) Select Day parts.
D) Click on the row for the desired group.

2) Click the Location(s) field.

3) Check the locations that will use the configured day parts.
Type part or all of the desired location’s name to filter the dropdown list.

4) Uncheck any locations that should not use the configured day parts.
When a location is removed from a day parts group, it no longer inherits any day part configuration. The location is treated as unassigned and will not return day parts in areas that depend on them, such as scheduling, forecasting, or reporting. As a result, day part–based dropdowns and groupings (like those in the Scheduler, Operations Dashboard, or Forecasting views) will appear empty for that location.

Locations can also be removed by clicking the X beside the location name.

5) Click Save to apply changes.

Configure a Day Part
Follow these steps to configure a single day part:
Click steps to expand for additional information and images.
1) Open the desired day parts group.
A) Select Admin from the left navigation rail.
B) Under Locations & legal entities, select Location hours.
C) Select Day parts.
D) Click on the row for the desired group.

2) Enter a unique name for the day part.
The day part name displays throughout the system.

3) Enable the ‘Define by day of week’ toggle to set times separately for each day of the week. (Optional)
When enabled, this toggle allows setting unique start and end times for each day of the week.

4) Set the start time for the day part.
The start time cannot overlap the end time of the previous day part.

When defining by day of the week, set the start time to ‘None’ for any day that does not use the day part.

5) Set the end time for the day part.
The end time cannot overlap the start time of the next day part.

6) If defining by day of the week, repeat steps 4 and 5 for each day.

7) Click Save.
The Save button remains disabled until all start and end times are set.
Add a Day Part
Each day part represents a defined portion of a day. A day parts group can include as many day parts as needed to cover all operating hours, but must contain at least one. After configuring the first day part, additional day parts can be added to define other time segments within the day.
Day parts within a day parts group cannot overlap. Gaps between defined day parts represent periods when no day part is active. These open periods are excluded from forecasting, scheduling, and reporting that rely on day part data. A day part is treated as inactive for any unconfigured days, and times not included within a defined day part are ignored by dependent systems.
Follow these steps to add an additional day part:
Click steps to expand for additional information and images.
1) Open the desired day parts group.
A) Select Admin from the left navigation rail.
B) Under Locations & legal entities, select Location hours.
C) Select Day parts.
D) Click on the row for the desired group.

2) Click Add Day Part.

3) Configure the day part by entering its name, start times, and end times.
Learn more about configuring a single day part above.
Start and end times cannot overlap other day parts in the group or extend beyond 24 hours.

4) Reorder if needed.

5) Resolve overlapping start and end times.
Start and end times cannot overlap other day parts in the group or extend beyond 24 hours.
If times overlap, the system highlights the conflicting fields in red and disables Save until corrected.

6) Click Save.

Reorder Day Parts
Day parts are displayed throughout the system in the order that they appear in the day parts group. Reordering defines the sequence in which day parts are evaluated and displayed across forecasting, scheduling, and reporting. The order determines how consecutive day parts are interpreted within a 24-hour period and ensures that validations, such as overlap and total duration, are applied correctly.
Follow these steps to change the order of day parts:
1) Open the desired day parts group.
A) Select Admin from the left navigation rail.
B) Under Locations & legal entities, select Location hours.
C) Select Day parts.
D) Click on the row for the desired group.

2) Drag the desired day part to a new position using the reorder handle.

3) Resolve overlapping start and end times.
Start and end times cannot overlap other day parts in the group or extend beyond 24 hours.
If times overlap, the system highlights the conflicting fields in red and disables Save until corrected.

4) Click Save.

Delete a Day Part
Gaps between defined day parts represent periods when no day part is active. These open periods are excluded from forecasting, scheduling, and reporting that relies on day part data. A day part is treated as inactive for any unconfigured days, and times not included within a defined day part are ignored by dependent systems.
Follow these steps to delete a single day part within a day parts group:
Click steps to expand for additional information and images.
1) Open the desired day parts group.
A) Select Admin from the left navigation rail.
B) Under Locations & legal entities, select Location hours.
C) Select Day parts.
D) Click on the row for the desired group.

2) Click the Trashcan button for the desired day part.
The Trashcan button is not displayed when the day parts group only has one day part.

3) Click Save. (After saving, deleted day parts cannot be restored.)

Delete a Day Parts Group
Deleting a day parts group permanently removes its configuration and breaks the link between that group and all assigned locations. Locations previously associated with the deleted group will no longer have active day part definitions and will be treated as having no configured day parts. This affects all system areas that reference day part data, including forecasting, scheduling, task management, and operational reporting unless the locations are reassigned to a new group.
Follow these steps to delete a day parts group:
Click steps to expand for additional information and images.
1) Open the desired day parts group.
A) Select Admin from the left navigation rail.
B) Under Locations & legal entities, select Location hours.
C) Select Day parts.
D) Click on the row for the desired group.

2) Click the Menu button in the header.

3) Select Delete day part.

4) Click Delete to confirm that the day parts group should be permanently deleted. This action cannot be undone.
