A user’s email address is verified when the system confirms that the user can access it through a verification link or password reset.
For brand-managed instances, access through multi-instance switching requires a verified email address. When a user’s email address is unverified, regular login remains available, but the instance does not appear in the multi-instance switcher.
When a user’s email is unverified, a verification email can be re-sent from their user record by an administrator. Users can also re-send the verification email from their own User Info screen.
Email Verification Criteria
A user’s email address is considered verified when the user completes an email-based action that confirms access to the inbox associated with the account.
The system treats the following actions as verification events because they require successful access to the email address on file:
Initial password set using the ‘Set initial password’ email.
Password reset using a ‘Forgot password’ email.
Changed email address verified using the ‘Email verification’ email.
Email verification status is not manually editable and cannot be updated through the R365 user API.
Email Address Changes
When a user’s email address changes, the system marks the new address as unverified. The system sends a verification email to the new address and an email change notice to the previous address.
When a user’s email address becomes unverified, the associated instance is no longer accessible through multi-instance switching until verification is completed through a confirmation link or password reset.
If an instance was previously accessible through multi-instance switching, the instance is removed from the switcher while the email address remains unverified. The user can still sign in directly to the current instance using their login credentials.
SSO Users
For users authenticated through single sign-on (SSO), the system does not treat authentication as email verification. Verification occurs only after completion of an email-based action delivered through R365.
Email addresses are only verified for brand-managed instances.
Viewing Verification Status
Users Page
On the Users page, the email verification status for a user can be viewed in the ‘Email Status’ column.
User Record
On a user record, the email verification status is displayed on the General tab next to the email address.
Yellow Triangle - Email address is unverified.
When the email address is unverified, the verification email can be re-sent by clicking the Resend link button in the alert at the top of the screen.
