Employee-submitted timecards are reviewed on the Timecard page. Employees can create and submit timecards from the R365 mobile app to record a shift that wasn’t logged, such as a shift they forgot to clock in on. One submitted, the system displays a notice on the Timecard page.
Submitted timecards are not included in worked hours until a manager approves them. Managers can approve or reject each submission: approving adds the hours to the employee's worked hours for payroll, while rejecting denies the submission and keeps it out of worked hours.
Security
Users must have the following permission(s) to review employee-submitted timecards:
Labor → Time & Attendance → Timecards
View Timecards
Approve Timecards
These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.
Navigation
Employee-submitted timecards are reviewed on the Timecards page.
Navigation Steps
Click the Workforce application.
Expand Time & attendance.
Click Timecards.

Search Bar
Navigate to pages with the R365 global search bar:
Enter all or part of the page name in the R365 global search bar.
Select the page from the results list.
Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.

Review Employee-Submitted Timecards
To review employee-submitted timecards, navigate to the TImecards page and follow these steps:
Click steps to expand for additional information and images.
1) Locate the Submitted timecards card and click Review.
The Submitted timecards card displays a count of pending employee submissions. The Submitted timecards window opens, listing all timecards awaiting review.

2) In the Submitted timecards window, click Review next to the timecard to open.
Each entry in the list shows the employee name, date, time range, location, job, and the date the timecard was submitted. Click Review on a single entry to open that timecard.
Submitted timecards are not included in worked hours until approved. Click Done to close the window without taking action.

3) Review the timecard details.
The timecard opens as a sidesheet. The left panel shows Shift Details, including the proposed clock-in and clock-out times. The right panel shows the submitted timecard information: the proposed shift time, any note from the employee explaining the submission, and the submission timestamp and submitter name.
The employee information section below shows the employee name, location, job, and hourly rate. The Shift section shows worked hours, business date, clock-in time, and clock-out time.

4) Click Approve or Reject.
Clicking Approve accepts the submitted timecard. The hours are added to the employee's worked hours and are included in payroll processing.
Clicking Reject denies the submission. The timecard is not added to worked hours.

Repeat these steps until all necessary timecards have been reviewed.
