Pay period groups define the name, date range, and assigned locations used to manage labor tracking in Time & Attendance. These configurations determine how and when timecards are reviewed, closed, and prepared for payroll export.

Pay periods configured here apply only to locations not using R365 Payroll. If R365 Payroll is enabled, pay periods are instead managed through the Payroll Calendar, which becomes the source of truth for payroll processing.


Security

Users must have the following permission(s) to access Time & Attendance Settings:

  • Labor → Time & Attendance → View Timecards

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

Navigation Menu

Time & Attendance Settings

  1. Navigate to the Workforce tab.

  2. Select the Time & Attendance dropdown and select Time & Attendance.

  3. Click the gear icon in the right corner.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.

Section Menu

Details the sections available within the Pay Period configuration settings.

Back to Time & Attendance Settings

Navigates to Time & Attendance settings. Unsaved changes will be lost.

Save

Saves changes made.

Quick Action Buttons

Help

Opens the Help Menu with resource links to the Support Center, Knowledge Base, R365 Academy, and Product Releases. 

 

Expand/Collapse

Expands the view to full screen, or collapses it if already expanded.

 

Close

Closes the page without saving.

Name

Name entered for the configuration group.

Set as Default

Sets this group as the default. New locations are automatically assigned to the default group.

Setting a rule as the default links all non-payroll locations to it by default. If the default rule is changed later, existing locations remain assigned to the previous rule. A different rule can be manually assigned to any location as needed.

Locations

Each location can only belong to one settings group. To assign a location to a new group, it must be removed from its current group. The selected group's dates determine when timecards are locked and made available for payroll export.

Start Date

The start date of the first pay period.

Pay Cycle Frequency

Specifies how often pay periods occur for the assigned locations and determines the duration of the pay period. Options are selected

from the dropdown: Weekly, Bi-weekly, Monthly, or Semi-monthly
