Year Over Year Comparison Days

A common question that the Support Team receives is, 'What historical data does the Flash Report utilize? Does it look at the actual dates (January 31, 2022, versus January 31, 2021) or does the report utilize a specific day of the week within the period?'

The Flash Report will utilize the day or date depending on the Operational Period Structure configuration for the Fiscal Year, found under 'Administration' in the Accounting module:

• 4/4/5, 4/5/4, or 5/4/4 - Day of the week (M, T, W, TH, F)

• 13/4 - Day of the week (M, T, W, TH, F)

• Calendar Month - Date (MM.DD.YY)

• Custom Operational Calendar- Day 1 to Day 1

  • Example: If 2021 started on 1/1/2021, and 2022 started on 12/30/2021, then the report would compare those two dates, as they are both 'Day 1' of their calendar

  • Important Note: If either the current or prior Operational Year was set as a Custom Operational Calendar, Operations reports will use the 'Day 1 to Day 1' method for comparing years.

Important Note: When an Operational Year is not created, Restaurant365 will default to a combined structure. When using the combined structure, Operational reports, including the Flash Report, will default to utilizing the Fiscal Calendar.

Troubleshooting

It is recommended to troubleshoot this as follows:

1.  Review the Fiscal Year Structures in place (recommended first)

2.  Run the Fiscal Year Report for years included in the Flash Report and compare their week structures

Settings By Desired Outcome

Compare the Day of the Week

If the Operational Period Structure is set as 4/4/5, 4/5/4, 5/4/4, or 13/4, the Flash Report will compare data based on the day of the week (M, T, W, TH, F).

Compare the Date

If the Operational Period Structure is set to 'Calendar Month', the Flash Report will compare data based on the date MM.DD.YY.

Compare the Day Number within a Year Structure

If a Custom Operational Calendar is created, the report will compare Day 1 to Day 1. For example, if 2021 started on 1/1/2021, and 2022 started on 12/30/2021, then the report would compare those two dates, as they are both 'Day 1' of their calendar.

If either the current or prior Operational Year was set as a Custom Operational Calendar, Operational reports will use the 'Day 1 to Day 1' method for comparing years.

Historical Days

For the Flash Report to reflect historical days of the week (M, T, W, TH, F), the following must be true:

1. The first day of the Operational Reporting Period is the same day of the week (M, T, W, TH, F) as the first day of the prior year. To make changes to the structure of the Operational Reporting Period, please review the Fiscal Period/Year Setup.
   

2. If the Operational Reporting Period is changed, it is recommended to work backward to update all years accordingly. Ensure that all days are accounted for and that there are no gaps.

   Example:

   If 2022's Reporting Period start date is updated to 1/2/2022, be sure that 2021 ended on 1/1/2022 on 2021's Operational Year. An easy way to review this would be to set a filter in the Fiscal Year Grid for the Legal Entity in question.
