Scheduled Counts

Inventory templates can be scheduled or on-demand. Scheduled counts are inventory templates that are set to recur on a regular cadence—daily, once weekly, or once per period. Inventory template schedule configuration can occur upon creation, and the schedule can be modified at any time by opening and editing an existing template.

When a scheduled inventory template is used to create an inventory count on one of its scheduled days, the scheduled template will be automatically selected once the location is set for the count. The auto-selection of scheduled inventory templates ensures counts are not forgotten and reduces setup time when starting inventory counts.

Counts made with a scheduled template can only be counted once per day. start time listed for scheduled counts is EOD (end of day).  Daily templates have a 48-hour availability window. If the prior business day's count has not been started, it remains available alongside the current day's count — but each day's count can still only be completed once.

Scheduled inventory templates are supported in the updated R365 mobile app.  To use count schedules on mobile, make sure your R365 app is up to date.


Schedule Options

Templates have the following options in the Schedule window:

Weekly

Template will be available each week on the selected day.

Requires a day of the week to be selected.

Period

Template will be available on a specified day of a period.

Requires the selection of:

  • The calendar to base the period on

    • Operational Calendar

    • Fiscal Calendar

  • The day of the period

    • First day of the period

    • Last day of the period

On Demand

This option has no set schedule. On demand counts can be started on any day.

On demand templates support spot counts, which means the same template can be used to run multiple counts in a single day, once per 15-minute interval.

This option requires no additional settings.

Daily

Template will be available every business day within a 48-hour availability window. When a count is started, the system checks whether a Daily count already exists for the prior business day. If not, the Business Date defaults to the prior business day; if a prior-day count exists, it defaults to today. The oldest uncounted Daily count within its window must be started before a newer Daily template becomes selectable. Requires no additional selections.

This option requires no additional settings.


Configure Count Schedule

Inventory template schedules are configured in the Schedule window. The Schedule window can be opened from the Schedule field when creating a new inventory template or when editing an existing template.

Using a Scheduled Inventory Template

Creating an inventory count requires the selection of an inventory template to use. When an inventory count is created for a location assigned to a scheduled inventory template on its scheduled day, the scheduled template will automatically populate into the template field.

A scheduled template can be deselected if a different count is being completed, but it will continue to appear in the template field for any new counts created on its scheduled day. It will be continue to appear up to 48 hours after the scheduled day begins (based on the day’s configured Start of Day), until it has been used.

For Daily templates, if the prior business day's count has not been started and is still within its availability window, the Daily template will be auto-selected with the Business Date pre-filled to the prior business day. If a prior-day Daily count is still open, today's Daily template will appear as disabled in the template selector until the prior count is started or its window expires.

After clicking Start count, users can continue with conducting the count.
