The auto dashboard feature in R365 Intelligence utilizes AI to create dashboards or single visualizations based on user prompts. This feature reduces the time it takes to create meaningful views of restaurant data, and helps those with less data expertise to get started customizing reports and dashboards to to fit their specific needs, making data-driven decision-making more accessible across the organization.
The auto dashboard feature is available in both new and existing dashboards in edit mode. The feature will be enabled once the dashboard has data objects added to the datasets panel.
Once the dashboard has data available, users can enter a specific prompt asking the AI to use the data to create or display specific reports. If the AI is asked to show or display, it will provide the user options to add the data to the dashboard. If the AI is asked to create a visualization or an entire dashboard, the data will be added to the dashboard. If the AI-created reports need to be changed, the AI can be prompted to modify the results. Auto Dashboards can also edit or modify existing user-created and AI-created visualizations.
Using the Auto Dashboard function:
Create a single visualization

Have access to Auto Answers in dashboard view mode

Navigation
The Auto Dashboard feature that builds visualizations is available in dashboard edit mode.
Create a new dashboard or open an existing dashboard into edit mode. To open the auto dashboard AI chat, click the Auto Dashboard button
in the left rail menu. The Auto Dashboard panel will open on the right side of the page.

In view mode, the same button opens Auto Answers, where users viewing the dashboard can ask the AI questions about the data on the dashboard. Read more about Auto Answers.
Auto Dashboard Prerequisites
The AI Auto Dashboard requires data to be added to dashboard before running any user queries.

To gain familiarity with the Auto Dashboard feature, R365 suggests beginning with prompts to get to know the AI and understand its capabilities and limitations. The following prompts will help give users an idea of how Auto Dashboard can help building pages:

Create a Single Visualization
To create a single visualization using the auto dashboard feature, follow these steps:

1) Enter a prompt to create a single visualization or use an AI suggested prompt.
The AI responses vary depending on the prompt used. Prompts with commands like “show me” or “display” or “add a” will create a visualization within the Auto Dashboard chat panel that may then need to be added to the dashboard page.

The prompt should only use data that exists in the datasets panel. The more specific the prompt, the more specific the response. Telling the chat to show a graph will display the selected information as a graph. However, only telling the chat to show the data may result in the data displayed using another method of the AI’s choice. If the response is not the user’s preference, the AI can be prompted to modify or refine the data.
Prompts can also be made more specific by specifying sort order or a date range.
Example Prompts:
Add a graph that shows my sales by day of week.
Show me gross sales versus net sales by location.
Show me the top performing menu items.
Show me overtime hours and overtime wages by employee name
Add a pie chart displaying total dips split by cash tips and CC tips.
Display sales amount and quantity sold by menu item in a heat map.
Show me comp amount and promo amount by day in a line graph.
Show me scheduled shift count compared to actual shift count in a line chart, by week, for the last three months.
Show me void amount and void quantity by menu item in a bar chart, showing the top 5 most-voided items this quarter.
Show me beginning balance, ending balance, and net change for GL accounts in a table with conditional formatting, sorted descending by ending balance for the current fiscal year.

When entering a prompt, the system suggests available data objects that match the entered text. Selecting a suggested data object ensures there are no typos and that the AI uses the exact object in the report. R365 recommends selecting from this list when applicable to avoid inaccuracies.

2) Review the visualization added to the page.
The visualization will be added to the page automatically. In the chat, the chat will show a response that lists the dashboard changes.

3) Prompt the AI to refine the visualization, if needed. This step can be done at any time.
If the visualization added does not display the data in the desired form, or if the data needs to be modified in any way. Prompt the AI to make the necessary changes. Request that the AI change the visualization type, add in a datapoint, or redefine a date range. Be as specific as possible to reach the desired results.
Supported requests include:
Edit Visualization Columns: Add, remove, or replace columns in an existing visualization.
Edit Visualization Type: Change the type of visualization (e.g., bar chart to line chart).
Rename Visualization: Change the name of a visualization.
Duplicate Visualization: Make a copy of a visualization on the same page.
Remove Visualization: Delete a visualization from the page.
Change Visualization Background: Update the background color of one or more visualizations or KPIs.
Beautify Visualization: Change the color, background, or title bar color of a visualization.
Add Visualization: Create a new visualization with your specified columns or context.
The AI cannot:
Create new metrics or attributes.
Move visualizations to other pages or chapters, or perform unsupported formatting actions.
Repeat these steps to continue creating and adding visualizations.
Create a Page of Visualizations
To create a page of visualizations using the auto dashboard feature, follow these steps:

1) Enter a prompt telling the AI to create a page. Use phrases and words like: “Create a page…,” “Add a page…,” or “Create a dashboard…”
Include the information that should be shown on the page. The AI response will vary depending on the prompt used. Be as specific as necessary to get the desired results. When a prompt is broad or general, the AI will interpret it to create a page of visualizations that shows the entered information. In this example, the broad prompt used is: “Create a page showing me my sales.”

When only “Create a Page.” is entered, a new blank page will be added. Be sure to add to the prompt what the page should show.
When a more specific prompt is entered that details what type of page to create, the page will begin creating and adding a set of visualizations to the page.
Example Prompts:
Create a page for sales analysis, focusing on time and region-based revenue and profit trends.
Create a page for labor efficiency, comparing scheduled hours, actual hours, and labor cost as a percent of sales.
Create a dashboard for food cost management, focusing on theoretical vs. actual food cost and waste patterns.
Create a page for transaction analysis, highlighting comps, voids, and discount activity over time.
Create a page that overviews sales across locations.

2) The visualizations created by the AI will be added to the page automatically in the style that was selected.
The chat will list all the dashboard changes that it made.

3) Review the page, and prompt the AI to make changes, as needed.
Edits can be made as needed to selected visualizations or to the entire page. To make edits to visualizations on the dashboard, prompt the AI to make the necessary changes.

Supported edits include:
Edit Visualization Columns: Add, remove, or replace columns in an existing visualization.
Edit Visualization Type: Change the type of visualization (e.g., bar chart to line chart).
Rename Visualization: Change the name of a visualization.
Duplicate Visualization: Make a copy of a visualization on the same page.
Remove Visualization: Delete a visualization from the page.
Change Visualization Background: Update the background color of one or more visualizations or KPIs.
Beautify Visualization: Change the color, background, or title bar color of a visualization.
Add Visualization: Create a new visualization with your specified columns or context.
Repeat these steps to create additional pages.
Edit Visualizations
The Auto Dashboard chat can edit a single visualization or multiple visualizations at once if prompted. The AI can edit user-created visualizations and elements as well as AI-created visualizations and elements. To edit dashboards using the AI bot, enter prompts into the chat that instruct the AI to make edits.
Use visualization and element names in prompts to specify when only a certain visualization should be edited. Alternatively, instruct the AI to edit the entire page if the request should apply to all the visualizations on the page.
The following edits are supported:
Add Visualization: Insert a new visualization (choose from supported types).
Edit Visualization Columns: Add, remove, or replace columns in a visualization.
Edit Visualization Type: Change the visualization type (e.g., bar, line, pie, etc.).
Rename Visualization: Update the name of a visualization.
Duplicate Visualization: Copy a visualization under a new name (on the same page).
Remove Visualization: Delete a visualization.
Change Visualization Background Color: Update the background color for one or more visualizations or KPIs.
Beautify Visualization: Change colors or enhance the appearance of a visualization (background/title bar color).
