Configure Spread of Hours

The Spread of Hours rule adds extra pay when an employee’s workday spans more than a defined number of hours. The system measures the total time between the employee’s first clock-in and last clock-out for the day. If that time exceeds the configured daily hour threshold, payroll adds additional pay at the specified minimum wage.

Use this rule to support compliance with labor regulations that require additional compensation for extended workdays.

Changes apply going forward and do not recalculate completed payroll runs.


Security

Users with the following permission will be able to create spread of hours rules:

  • Labor → Labor Rules → Spread of Hours Rules → Create Spread of Hours Rules

Users with the following permission will be able to edit spread of hours rules:

  • Labor → Labor Rules → Spread of Hours Rules → Edit Spread of Hours Rules

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Open an spread of hours rule

  1. Select Admin from the left navigation rail.

  2. Expand Workforce.

  3. Select Labor rules.

  4. Select the rule to open its record.

Tip:

Find the rule Type in the Type column. In this example, Break type is selected.


Change locations assigned to a spread of hours rule

Follow these steps when a location opens, closes, or moves to a different rule:

1) Select the dropdown arrow by Locations.

2) Check additional locations and/or remove locations.


Configure spread of hours

Use these steps to define when and how additional pay is applied:

1) Navigate to the Spread of hours section.

2) Enter the Daily hour threshold.

This value defines the maximum allowed span between the first clock-in and last clock-out for a day.

3) Enter the Minimum wage amount.

Payroll uses this amount to calculate the additional spread of hours pay.


Save the rule

  1. Confirm and review all fields in:

    • Name & locations

    • Spread of hours

  2. Click Save.
