Manage Breaks on Timecards

Breaks on a timecard are managed from the Timecard Shift Record. Managers can add missing breaks, edit break details, and delete breaks. All break changes are captured in the timecard audit log for both the individual timecard and the global activity log.

When a break does not comply with configured break rules, a compliance indicator appears on the timecard. Hovering over the indicator displays a tooltip identifying which break rule was triggered. Break compliance details are also reflected in the Break Violations report.


Security

Users must have the following permission(s) to manage breaks on a timecard:

  • Labor → Time & Attendance → Timecards → Edit Timecards

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Breaks are found in the Shift section of the timecard record. To open a timecard record:

To open a timecard;

  1. Navigate to the Workforce application.

  2. Expand Time & attendance.

  3. Select Timecards.

  4. Click on the row for the desired timecard.

    To locate a specific timecard, adjust the location, date range, and/or time type (day, week, or pay period). Additionally, use the Search bar to search the list of available timecards.


Add a Break

Follow these steps to add a missing break to a timecard:

1) Navigate to the Timecard Shift Record for the employee shift.

  1. Select the correct location.

  2. Select the date range.

  3. Set the date range type. Select either Day, Week, or Pay Period.

  4. Click the correct timecard to open it.

2) Click Add Break in the Breaks section. The Breaks section is a subsection of the Shift section.

3) Enter the break start time in the Break Start field.

4) Enter the break end time in the Break End field.

5) Select whether the break is paid or unpaid.

6) Select a Reason for Editing.

A reason for editing is required before any changes to a timecard can be saved. For more information, see the Timecard Shift Record.

7) Click Save.


Edit Break Details

Follow these steps to edit the details of a break on a timecard:

1) Navigate to the Timecard Shift Record for the employee shift.

  1. Select the correct location.

  2. Select the date range.

  3. Set the date range type. Select either Day, Week, or Pay Period.

  4. Click the correct timecard to open it.

2) Locate the break to edit in the Breaks section.

3) Update the break start time, break end time, or paid/unpaid status as needed.

4) Select a Reason for Editing.

A reason for editing is required before any changes to a timecard can be saved. For more information, see the Timecard Shift Record.

5) Click Save.

Delete a Break

Important Note About Deleting Breaks

Deleting a break removes the break and all associated details from the timecard. This action cannot be reversed.

Follow these steps to delete a break from a timecard:

1) Navigate to the Timecard Shift Record for the employee shift.

  1. Select the correct location.

  2. Select the date range.

  3. Set the date range type. Select either Day, Week, or Pay Period.

  4. Click the correct timecard to open it.

2) Locate the break to delete in the Breaks section.

3) Click the trashcan button beside the break.

4) Select a Reason for Editing.

A reason for editing is required before any changes to a timecard can be saved. For more information, see the Timecard Shift Record.

5) Click Save.
