Import Menu Item Rule

Menu item depletion rules are imported on the Import page in the Admin application. Use this import to create or update rules for many menu items or multiple locations at once using a CSV file, instead of configuring each rule manually.


Import Prerequisites

These prerequisites are required before import.

Before running this import, confirm that:

  • Menu items referenced in the file already exist in R365.

  • Each item in the Item column is a recipe-type inventory item.

  • The Modifier Rules feature is enabled for the account. If Menu Item Rules does not appear in the import list, contact an administrator to enable the feature.


Security

Users must have the following permission(s) to import menu item rules:

  • Food → Menu Items → Edit Menu Items

  • Admin → System Setup → Use Import Tool

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Import Menu Item Rules

Follow these steps to import menu item rules:

1) Navigate to the Import page: open the Admin application, expand Import in the left navigation, and select Import.

2) Select Menu Item Rule as the import option.

3) Select Update Existing as the type.

With Update Existing selected, R365 creates a rule when the rule name does not yet exist for the menu item, and replaces the rule when it does. Rules not included in the file are left unchanged. The same file can be run again without creating duplicate rules.

Important Note About Including Existing Modifier Rules

Update Existing replaces the entire matched rule, not just the conditions and depletions in your file. Any existing conditions or depletions for that rule that are not included in the file are removed, and this cannot be undone. Include every condition and depletion you want the rule to keep.

4) Click Download Template to get the CSV template.

5) Open the template file, complete it, and save it as a CSV file.

6) Back in the Import tool, click Upload File, then Next.

7) Review the column mapping. If using the template, column mapping should map appropriately. Then, click Next.

8) Click Import to import the data.

9) Review the results and correct any rows with errors.

For errors, the import tool will provide a downloadable corrections list. The import reports the row number and field that needs attention for each error. Valid rows in the same file can still be processed when another row has an error.

To make corrections, address the issues listed in the Problem column. Then, follow the above steps to reimport the file.

Once imported successfully, the imported rules will appear in the Rule section of the menu item.

A unique name for the rule. Use the same name on multiple rows (with the same Menu Item) when building one multi-row rule in advanced mode.

Yes, for each depletion

The recipe-type inventory item to deplete when the rule applies. A rule must contain at least one depletion item. A condition-only row may leave this blank when another row for the same rule supplies the depletion. Adding the same item twice in a rule depletes that recipe twice.

Condition columns must be used together. If any value is entered in Condition Type, Condition Operator, or Condition Value, all three must be completed. Leave all three blank when no condition is needed. A row with only one or two condition values is rejected.


Rule Structure

Simple Rules

A simple rule uses one row in the CSV and contains one condition (the menu item) and one depletion item. Use simple rules when a menu item always depletes the same recipe item with no additional conditions.

Advanced Rules

Advanced rules allow multiple conditions, multiple depletion items, or both. Use the same Menu Item and Rule Name on every row that belongs to the same rule. Each row contributes one condition, one depletion item, or both.

Example — multiple conditions and multiple depletions:

This creates one Dine-in No Bun rule for Burger with two conditions (Modifier is No Bun and Service Type is Dine-in) and three depletions (Bun Recipe, Patty Recipe, and Cheese Recipe).

Advanced Rule Limits

Within one rule:

  • The menu item condition is set automatically and appears only once.

  • Service Type can appear only once.

  • Location Group can appear only once.

  • Modifier, Sales Category, and Modifier Group conditions can appear multiple times when supported by the account.

  • The same condition type and value combination cannot appear more than once in a rule.

Important Note About Multi-Row Rules

When one row in a multi-row advanced rule is invalid, the entire rule is not saved. All rows belonging to that rule show an error indicating another row in the rule failed.


Common Import Errors

The import reports the row number and field that needs attention for each error. Valid, unrelated rows can still be processed when another row has an error.

Complete all three condition columns or clear all three.

Invalid condition value

Confirm the value exists for the selected condition type.

Duplicate condition

Remove the repeated condition type and value from the rule.

More than one Service Type or Location Group condition

Keep only one condition of that type per rule.

Only one rule is allowed; advanced rules are not enabled

Use one row per rule. Contact an administrator if advanced rules are needed for the account.

Only one condition and one action are allowed; advanced rules are not enabled

Reduce the rule to one condition and one depletion.

Brand-managed menu item cannot be updated

Brand-controlled menu items cannot be modified through this import.
