Create Time Off for an Employee (Schedule Requests Page)

A time off request can be created on behalf of an employee from the Time off tab of the Schedule Requests page. This option is available to any user with access to the Schedule Requests page, independent of Manager Tools permissions.


Security

Users with the following permission will be able to access the Schedule requests page:

  • Labor → Schedule → View Schedule Page

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Time off requests are created from the Schedule Requests page Time Off tab.

Navigation Steps

  1. Open the Workforce app.

  2. Expand Scheduling.

  3. Select Schedule Requests.

  4. Click the Time Off tab.


Create a Time Off Request

Follow these steps to create a time off request from the Schedule Requests page:

1) On the Time off tab, click Create.

The Time off request panel opens.

2) Select the employee from the Employee field.

The employee's assigned job codes appear below the field once selected.

Important Note About Employees Without a Location

If the selected employee has no active locations, a warning appears stating a location must be assigned before the request can be created.

3) If PTO accruals are enabled, select the Time off type. If PTO accruals are not enabled for your organization, skip to step 4.

The Time off type will determine the accrual balance that the hours are deducted from.

4) Enter the Start date and End date for the request.

Selecting a start date in the past displays a note recommending review of payroll history, since past requests may require manual payroll adjustment.

5) Select the time for the request. All Day is on by default. If the request is not for the entire day, toggle All day off, then enter the start time and end time.

6) If PTO accruals are not enabled select the reason for the request from the Reason field. If PTO accruals are enabled, this field will not appear. Skip to step 7.

7) Enter an Employee note, if applicable.

The note field allows up to 200 characters.

8) If this time off request uses PTO accruals, review the accrual balances. If PTO accruals is not enabled, skip to step 9.

The Balance section shows the employee’s available balance, the number of requested hours, and the balance that will remain after the time off request.

9) Click Create.

Selecting Create another before clicking Create opens a new Time off request panel automatically once the current request is created.

If a required field, such as Start date, is left blank, an error message appears indicating the field must be completed.

Once created, the request will add to the pending requests for approval.
