Schedule Requests

The Schedule requests page shows all scheduling requests submitted by employees, including availability changes, shift trades, shift offers, and time off, in one place.

From here, managers can:

  • Review pending requests

  • Approve or deny requests

  • Attach a comment to the approval/denial

  • Look up the history of previously reviewed requests.

Enabling this feature does not remove or replace Manager Queue. Both pages remain available at the same time.

Time off actions on this page are also separate from those on the Manager Tools page. Time off can still be created on behalf of an employee from the Manager Tools page for those that have access.


Navigation Menu

  1. Open Workforce from the left navigation rail.

  2. Under Scheduling, select Schedule requests.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.



Security

Users with the following permission will be able to access the Schedule requests page:

  • Labor → Schedule → View Schedule Page

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Schedule Requests Page — Header

Field

Description

Location filter

Multi-select filter. Defaults to "All location"; label changes to "Select Location" once one or more locations are chosen. Applies across all four tabs below.

Tabs

Lists submitted change requests. Shows a pending-count badge when the tab has pending requests. Tabs are:

  • Availability

  • Shift trades

  • Shift offers

  • Time off


Schedule Requests

The top section of each tab shows requests awaiting a decision.

Field/Button

Description

Employee Filter

Filters the requests for only the selected employee.

Submitted by

Date and time that the request was submitted.

Availability Request

The Availability requested along with the following details:

  • Employee that submitted the request

  • Jobs associated with the employee

  • Location that the employee submitted for

  • Whether the availability is recurring or temporary and when it is set to begin.

  • The dates and times of availability.

    Items in orange indicate the changes made to availability based on the existing recurring availability. It also lists what the day changed from.

Collapse Section

Collapses or expands the pending requests section.

Due Status

Indicates when the request reviewal is due. If the date has passed, this status will say Overdue.

Approve

Approves the request. Once approved, the availability will automatically update for changes to recurring availability. If the request has a start date beyond ‘today,’ the request will show as Upcoming for the employee.

Deny

Denies the request.

The note left when the request was approved or denied, if one was entered. Shown in the Reviewed view.

Available Shift

The shift available for claim. This may be an employee-offered shift or a shift left unassigned on the schedule. This card includes the following information:

  • Name of the employee offering the shift/Unassigned label

  • Date and times of the shift

  • Shift job

  • Shift location

Claiming Employee(s)

The employee or employees that have submitted a claim for the shift. This card includes the following information:

  • Name of employee who submitted claim

  • Number of hours the employee will have if the claim is accepted.

  • Violations that may occur if the claim is accepted

  • Date and time that the claim was submitted

Only one employee can be selected to claim the shift. Click the employee card to select it. If only one employee has submitted a claim, the employee is automatically selected.

Due Status

Indicates when the request reviewal is due. If the date has passed, this status will say Overdue.

Approve

Approves the request for the selected employee. If there is another employee who has submitted a claim, the employee that was not selected will automatically be denied.

Deny all

Denies the request for all the employees that have submitted claims for the shift.

The note left when the request was approved or denied, if one was entered. Shown in the Reviewed view.

Trading Shifts

The shifts being traded. Each shift trade card has the following information:

  • Name of the employee trading the shift

  • Date and times of the shift

  • Shift job

  • Shift location

  • Employee’s weekly hours once the trade is accepted

  • Any violations that may occur as a result of the trade

Due Status

Indicates when the request reviewal is due. If the date has passed, this status will say Overdue.

Approve

Approves the trade request for the selected employee. Once approved, the employees will have their new shift.

Deny all

Denies the trade request.

The note left when the request was approved or denied, if one was entered. Shown in the Reviewed view.

Import

Open a menu to download a time off import template. Selecting Import uploads a completed template to bulk-create time off requests. Learn more about how to import time off requests from this page.

This button is only available when PTO Accruals is not enabled.

Download Template

Opens the option to download the time off request import template.

Create

Opens the time off form. This submits a time off request on behalf of an employee. Learn more about submitting a time off request for an employee.

Submitted by

Date and time that the request was submitted.

Time Off Request

Time off request and the request details, including the following:

  • Type of request

  • Employee requesting

  • Employee job

  • Employee location

  • Date(s) and time(s) requesting off.

Indicates when the request reviewal is due. If the date has passed, this status will say Overdue.

Approve

Approves the time off request for the selected employee.

Denies the time off request.

Each tab on this page has two sections: Pending and Reviewed.

Label

Description

Pending

Shows requests awaiting a decision. This section can be collapsed and expanded, as needed.

Reviewed

Shows previously decided requests. Defaults to the last 7 days; can be changed to last week, last month, last year, or a custom range. This section can also be filtered by Approved or Denied status.
