Create a Time Off Request for an Employee via Mobile

Scheduling users create time off on behalf of employees from the Time off tab of the Schedule Requests screen in the R365 Mobile App. All date restrictions, time off type options, and accrual balances in the form reflect the selected employee's settings.

Users with access to the manager tools and scheduling can create a time off requests for employees.


Navigation Steps

  1. Tap More to open the mobile navigation.

  2. Under Workforce, select Schedule approvals. This will open the Schedule requests screen.

  3. Tap the Time Off tab.


Create Time Off for an Employee

Follow these steps to create a time off request on behalf of an employee:

1) Tap the + (create) button in the bottom-right corner of the screen.

The Request time off screen opens.

The '+' button is only visible to users with scheduling and manager tool permissions. Users without the required permissions see the Time off tab but do not see the button.

2) Tap Select employee, search for the employee by name, and tap their name to select them.

The list narrows as text is entered. The form loads the selected employee's time off types, accrual balances, blackout dates, and date restrictions after selection.

3) Tap Select a time off type, choose a type from the list, and tap Done.

Time off type options are specific to the selected employee. If PTO Accruals is enabled, the employee's accrual balances appear alongside each type option.

Select from personal, vacation, or jury duty.


4) Tap Start date and End date to set the time off dates. From this section, also set the time, if applicable. The system defaults to All Day.

Dates shown in black are blackout dates and cannot be selected. The number of days selected appears below the date fields when a date range is set.

To set a time, turn the All Day toggle off.

5) Optional: Enter notes for the employee in the Employee notes field.

6) Tap Submit request.

If the selected employee's request limit has been reached, a dialog appears. Tap Proceed to override the limit and submit the request, or tap Cancel to return to the form without creating the request.

The time off request will now appear on the Schedule requests screen Time Off tab until it is reviewed for approval by a manager.
