My Reports Overview

My Reports is the standard reporting tool available in Restaurant365. Reports are sorted and displayed on tabs that group the reports together, including a My Reports tab that shows user-defined favorites and a user’s most recent reports.

In order to view or access any report, users must first be assigned to a Report Role that contains a specific report. Users will not be able to view, or run, any reports that are not part of that user’s report role. Report roles can be created and managed by an administrator and can be assigned to as many or few users as needed.


Security

Individual users will be able to access and run each report that has been included in their assigned report role, regardless of the user's security role. Users will only be able to run reports for the locations and legal entities that have been assigned to them in their user profile. Learn more about User Setup and Location Access here.

Users must have the following permission(s) to manage report roles.

  • Administration→ Report Roles â†’

    • View Report Roles

    • Create/Edit/Delete Report Roles


These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

To navigate to the My Reports page:

  1. Open the left navigation menu.

  2. In the classic menu, open the Reports category.
    -OR-
    In the Smart Ops menu, scroll to the bottom of the navigation menu.

  3. Click My Reports.

  4. The My Reports page will open.


My Reports Page

Button/Field

Description

Report Search Bar

Uses key words to search all reports.

Search results will surface on a new Results report tab. Here, all the reports related to the search terms will be sorted by section.

Report Subscriptions

Opens the Report Subscriptions page, where users can view, create, and manage report subscriptions.

Report Tabs

The report groupings. The report tab names are representative of the reports listed on this tab.

Section

Sections for the listed reports. These sections further sort the reports listed on this tab.

Report

The report listing.

Each report listing has the following:

Favorite

Sets or removes the report from the Favorites section.

Report Name

Name of the report.

Report View

Opens report view selector and lists the report view that is set to generate when Run is clicked.

Quick Parameter

Opens quick parameter options (if applicable).

Run / Download

Runs the report or downloads the report in the selected file type.

Customize

Opens the report parameters for editing.

  • Recent - The last five reports run by the user.

  • Favorites - All the reports that have been marked as a favorite by the user. Read about marking a report as a favorite.
