Break rules define how breaks are tracked in scheduling and what penalties apply when break requirements are not met. The rule is organized into four sections: Name & Locations, Scheduled Breaks, Meal Break Penalties, and Rest Break Penalties.
From this record, users can:
Rename the rule
Assign locations
Configure the break calculation for R365 scheduling
Configure meal break penalty thresholds and earnings
Configure Rest break penalty thresholds and earnings
Security
Users must have the following permission to access Break rules.
Labor → Labor Rules → Break Rules → View Break Rules
These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.
Navigation
Navigation menu
Select Admin from the left navigation rail.
Expand the Workforce category.
Select Labor rules.

Global search bar
Navigate to pages with the R365 global search bar:
Enter all or part of the page name in the R365 global search bar.
Select the page from the results list.
Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.

Break Rule Record Buttons and Fields

The quick section navigation panel on the left hand side three buttons appear and three buttons at the top of the screen remain visible regardless of which section is active.

Scheduled Breaks Buttons and Fields

This section contains two radio options that determine the break tracking method. Only one can be selected at a time.

Use scheduled breaks | Break time is subtracted from worked hours at the time of the scheduled break. No additional configuration fields appear when this option is selected. |
Use calculated breaks | Break time is subtracted from total hours worked and attributed to the business day the shift ends. When selected, the calculated breaks grid appears below with a row for each break tier. |

The following settings appear in the within the Scheduled Breaks section when Use calculated breaks is selected. Each row represents one break tier. Rows are added with + Add tier and removed with the delete button. | |
Shift type | Determines whether the break is calculated per individual shift or per business day. Options:

Hours worked | The threshold of hours worked that triggers a break deduction for this tier. |
Break minutes | The duration in minutes deducted from worked hours when the hours worked threshold is met. |
(delete) | Removes the break tier. |
+ Add tier | Adds a new row to the calculated breaks grid. Visible only when Use calculated breaks is selected. At least one row must be present before the rule can be saved. When no rows exist, only this button displays. |
Meal Break Penalties Buttons and Fields
This section supports multiple penalty tiers. When no tiers are configured, only the + Add tier button displays. At least one tier must be added before the rule can be saved. Each tier is labeled "Meal break 1," "Meal break 2," and so on.
Max Penalties Per Day

Field | Description |

Maximum penalties per day | Caps the number of meal break penalties that each employee can accumulate in a single business day. |
Add Tier | Adds a new meal break penalty tier. At least one tier must be added before the rule can be saved. When no tiers exist, only this button displays. |
Per-Tier Buttons & Fields (one set per meal break tier)

Each tier contains four sub-sections of fields.

Max minutes without waiver | The maximum shift length in minutes before a meal break is required. |
Max minutes with waiver | The maximum shift length in minutes before a meal break is required if a waiver is in effect. |
Minimum break minutes | The minimum unpaid break duration in minutes that satisfies the meal break requirement for this tier. |
Min minutes worked before break | The minimum number of minutes worked before a meal break can be taken and count as valid. |
Max minutes worked before break | The maximum number of minutes worked before a meal break is considered late or missed. |
Penalty minutes | The number of minutes used to calculate the penalty. Required for each tier. |
Penalty rate | The rate at which the penalty minutes are multiplied to calculate the penalty earning. Options:

Rest Break Penalties Buttons and Fields

The Rest Break Penalties section requires R365 Timeclock.

Repeat every minutes | The work period duration in minutes that triggers an additional rest break beyond the first. |
Percent of repeat minutes | Percentage threshold of the repeat minutes interval that may trigger a rest break. |
Penalty minutes | The number of minutes used to calculate the penalty. Penalty earning = rate x minutes. |
Penalty rate | The rate at which the penalty minutes are multiplied to calculate the penalty earning. Penalty earning = rate x minutes.
