Review and Edit AI Shift Assist Matches

Managers review and edit AI Shift Assist matches in the Matching employees window, which opens from a shift on the Schedule page. The window lists the employees that AI Shift Assist matched to the shift. They appear in Preferred, Eligible, and Eligible with warnings groups.

Removing a candidate takes that employee off the shift's offer list. For more on how AI Shift Assist ranks and notifies candidates, see AI Shift Assist.

Removing or restoring candidates takes effect only after the shift is saved. Closing the Matching employees window and leaving the shift without saving discards the change.


Security

Users must have the following permissions to review and edit AI Shift Assist matches.

  • Labor → Scheduling → Schedule →

    • View Schedule Calendar

    • Add/Edit/Delete Shifts

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


AI Shift Assist shows candidate matches on unassigned shifts.  

  1. Open the Workforce app.

  2. Expand Scheduling.

  3. Click Schedule.

  4. Create a  New Shift.
    OR
    Double-click a shift from the Unassigned shifts row.


Review Matched Candidates

Follow these steps to review the candidates that AI Shift Assist matched to a shift. These steps start on the Schedule page:

1) Open an existing unassigned shift or create a new shift.

To open an existing shift, double-click a shift from the Unassigned row on the schedule. To create a new shift, click New Shift.

2) Select a job in the Jobs field.

Once a job is selected, AI Shift Assist starts searching, and AI Search in progress appears in the shift form.

3) Click Review matches when AI found matching employees appears.

The Matching employees window opens.

4) Review the candidates in each group.

Preferred lists the top 30% of qualified matches. Eligible lists candidates who are fully qualified with no conflicts and scored lower than the preferred group.

Eligible with warnings lists candidates who are qualified but have conflicts. Their shifts require manager approval. Each candidate carries an Approval required badge and a tag that describes the conflict, such as Minor labor rule.


Remove a Candidate

Removing a candidate takes that employee off the shift's offer list. The shift notification will not be sent to employees removed from the candidate list.

Follow these steps to remove a candidate from a shift. These steps start in the Matching employees window:

1) Click Remove next to the candidate to remove.

2) Click Remove in the confirmation window.

The candidate no longer appears in the list. A message with an Undo option appears in the lower-left corner. Click Undo to bring the candidate back.

3) Click Close.

4) Click Save in the shift form.

The removal takes effect when the shift is saved.

Removing a Preferred candidate does not move an Eligible candidate into the Preferred group.


Restore Removed Candidates

Follow these steps to restore the candidates removed from a shift. These steps start in the Matching employees window:

1) Click Restore all candidates.

All removed candidates return to the list.

2) Click Close.

3) Click Save in the shift form.

The restore takes effect when the shift is saved.

Restore all candidates is available only after a candidate is removed. It restores all removed candidates. Restoring individual candidates is not available.
