Multi-Instance Users

A multi-instance user is a user who has access to more than one instance. In a standard configuration, users access each instance independently and sign in to each instance separately. Depending on how the user accounts are set up, this may require multiple usernames and passwords.

When an instance is connected to a brand or a partner, multi-instance switching is available. In this configuration, a user signs in once and can switch between all instances they have access to without signing out and signing back in.

Once user eligibility conditions are met for at least two instances, the user is automatically enabled for multi-instance switching, and the multi-instance switcher becomes available.

Only instances where user eligibility conditions are met will be accessible by the user though multi-instance switching.

The user eligibility conditions are dependent on whether the instance is a brand-managed or partner-managed instance. (See conditions list below)


Brand-Managed Instance User Eligibility

For brand-managed instances, multi-instance switching is only enabled for a user when they have matching usernames and verified email addresses across instances connected to a brand.

For a user to be eligible for multi-instance switching:

  • The user must have a user record in more than one instance connected to a brand.

  • The username must match across all associated user records.

  • On each user record, the username must be the same as the email address.

  • The email address on each user record must be verified.

If the username and email address do not match, the multi-instance switcher lists the instance but cannot not open it.


Partner-Managed Instance User Eligibility

For partner-managed instances, multi-instance switching is enabled for a user when they have matching email addresses across instances connected to the same organization.

For a user to be eligible for multi-instance switching:

  • The user must have a user record in more than one instance connected to the organization.

  • The email address must match across the associated user records.

Once a partner-managed user is enabled for multi-instance switching, the email address is locked and cannot be changed.
