Merge Duplicate Employees Wizard

The Merge Duplicate Employees wizard walks a user though merging possible duplicate employee records. Only duplicates identified by the system can be merged. The screen is accessed from the suspected duplicate employee alert that appears when an employee record has been identified as possibly being a duplicate record.

From this screen, users can:

Manually Merge Employees

The Employee Merge Wizard is used to manually merge duplicate employees that have not been identified by the system. Manual employee merges do not appear on the Merge History tab and cannot be undone.


Security

Users must have the following permission to use the Merge Duplicate Employees wizard:

  • Labor → Employees → Merge Employees

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation Menu

  1. Select Workforce from the left navigation rail.

  2. Expand the Employees category.

  3. Select Employees.

  4. Select one of the records associated with an employee who has duplicate records.

  5. Click Review + merge in the Suspected duplicate records section.

Step indicator

Lists the steps in the wizard. Both steps show as unfilled when on step 1.

Recommended primary employee

The employee record the system recommends to be the primary record that other records are merged into.

The most complete record is selected as the recommended primary record.

If one of the suspected duplicate employee records has been onboarded to R365 payroll, that record is selected and cannot be deselected.

Possible duplicate employees

Other employee records that have been identified as possibly being duplicate records for the same employee.

Selecting a record will set it as the primary record that other records will be merged into.

Ignore merge recommendations

Ignores all identified duplicates. Ignored records will not be recommended again. This action is not reversable.

Next

Continues to the next step of the wizard.

Name

Full name on the employee record.

Completeness

Percent of fields on the employee record that are complete.

Payroll

Payroll status on the employee record.

Email

Email address on the employee record.

SSN

Social security number on the employee record.

Only displayed for users with the ‘View PII’ permission.

Phone Number

Phone number on the employee record.

Address

Address on the employee record.

Date of Birth

Date of birth on the employee record.

Employment

Employment status on the employee record.

Select Duplicates to Be Merged

Bulk Select

Selects / deselects all proposed duplicates.

Primary employee record

The primary employee record selected in the previous step, indicated with a gray checked box. This cannot be deselected. All other selected records will be merged into this record.

Single select

Indicates if the employee record will be included in the merge.

  • Check to include a record.

  • Uncheck to ignore the record.

Ignored records will not be proposed again.

Only one employee record that has been onboarded to payroll can be included in the merge.

Ignore merge recommendations

Ignores all identified duplicates. Ignored records will not be recommended again. This action is not reversable.

Back

Returns to the previous step where the primary employee record can be changed.

Merge records

Merges the selected employee records.

Confident

Level of confidence the AI has that the employee record is a match.

Payroll

Payroll status on the employee record.

Email

Email address on the employee record.

SSN

Social security number on the employee record

Only displayed for users with the ‘View PII’ permission.

Phone Number

Phone number on the employee record.

Address

Address on the employee record.

Date of Birth

Date of birth on the employee record.

Employment

Employment status on the employee record.
