Map POS Accounts with AI

POS accounts are managed from the POS Accounts tab of the Mapping tool. Mapping determines how POS activity posts to the GL and ensures that imported sales, payments, jobs, and paid-out types are recorded accurately.

The Unmapped view displays POS accounts that still require GL account mapping or other required field selections. To support this process, the system provides AI suggestions—recommended GL accounts based on the POS account type and key words in the POS account name.

POS accounts can be mapped from the POS Accounts tab in three ways:


Security

  • The following permission is required to map POS accounts in the Mapping Tool:

    • Administration → Mapping Tool→ POS Management → View/Edit POS Mapping Tool

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Map POS Accounts - Individually in the Mapping Details Panel

This option is used to map POS account fields manually, either to override an AI suggestion or when no AI suggestion is available. It can also be used to set additional fields that are not included in the Unmapped view.

AI Suggestions recommend GL accounts based on the POS account type and key words in the POS account name. The system compares this information to existing Chart of Accounts mappings and proposes the closest match. Suggestions should be reviewed before saving.

To map a POS account in the Mapping details panel, follow these steps:

1) Navigate to the Mapping tool.

A) Open the Admin application.
B) Expand the Integrations category.
C) Select Mapping tool.

The Mapping tool opens to the POS accounts tab.

2) Click the Unmapped view.

The unmapped view displays all POS accounts that need to be mapped.

3) Click the pencil button in the POS account row to open the Mapping details panel.

4) In the Mapping details panel, select a GL account from the dropdown, or continue with the AI suggested account if one is provided.

AI suggested GL accounts are prefilled when available and are indicated with a sparkles icon .

The example below uses a Payment type account, but the GL account field is present for all POS account types.

5) Complete the additional fields for the POS account type.

Map POS Accounts - Save AI Suggestions

Use this option to save AI suggested mappings for individual POS accounts directly from the POS Accounts tab.

AI Suggestions recommend GL accounts based on the POS account type and key words in the POS account name. The system compares this information to existing Chart of Accounts mappings and proposes the closest match. Suggestions should be reviewed before saving.

To save AI suggestions individually, follow these steps:

1) Navigate to the Mapping tool.

A) Open the Admin application.
B) Expand the Integrations category.
C) Select Mapping tool.

The Mapping tool opens to the POS accounts tab.

2) Click the Unmapped view.

3) Review the AI suggested fields for the desired POS account row.

AI suggested fields are prefilled when available and are indicated with a sparkles icon .

To select a different option, click the pencil button in the  POS account row to open the Mapping details panel and adjust the mapping.

4 Click save.

The save option is available only when all required fields are complete.

If an AI suggestion is not available for a field, click the POS account row to open the Mapping details panel, complete the mapping, and save.

After the mapping is saved, the POS account moves from Unmapped to the view associated with its POS account type.


Map POS Accounts - Save AI Suggestions in Bulk

Use this option to save AI suggested mappings for multiple POS accounts at once.

AI Suggestions recommend GL accounts based on the POS account type and key words in the POS account name. The system compares this information to existing Chart of Accounts mappings and proposes the closest match. Suggestions should be reviewed before saving.

To save AI suggestions in bulk, follow these steps:

1) Navigate to the Mapping tool.

A) Open the Admin application.
B) Expand the Integrations category.
C) Select Mapping tool.

The Mapping tool opens to the POS accounts tab.

2) Click the Unmapped view.

3) Review the AI suggested fields for each POS account row to be mapped

AI suggested fields are prefilled when available and are indicated with a sparkles icon .

4) Select the checkbox for each row to be included in the bulk update.

5) In the action bar, click the sparkles buttonto save the AI suggestions for all selected rows.


Bulk Edit POS Accounts in the Unmapped View

Bulk Edit POS Accounts in the Unmapped View

Bulk edits in the Unmapped view allow multiple POS accounts of the same type to be updated at once. This action is performed on the POS Accounts tab of the Mapping Tool.

Follow these steps to bulk edit POS accounts in the Unmapped view:

1) Navigate to the Mapping tool.

A) Open the Admin application.
B) Expand the Integrations category.
C) Select Mapping tool.

The Mapping tool opens to the POS accounts tab.

2) Click the Unmapped view.

3) Select the records to edit using the checkboxes.

All selected records must be the same account type. When records of different types are selected, the Edit button in the action bar is disabled.

4) Click Edit in the action bar.

The bulk edit window opens. The fields available depend on the account type of the selected records.

  • Sales records: GL Account and Sales Account Type.

  • Payment records: GL Account, Payment Group, and Exception.

  • Job records: GL Account. Paid Out records: GL Account.

5) Update the desired fields.

The example below is specific to payment types. Available fields vary per account type.

6) Click Apply changes.

The Unmapped view refreshes and the selection clears. Records with all required mappings filled move to the appropriate account type view (Sales, Payment, Job, or Paid Out).
