Garnishment Wizard

The garnishment wizard can be accessed after clicking Add Deduction, from the Benefits & Deductions section in the Payroll tab.

From this screen, users can:


Security

Users must have the following permission to access the Deductions Wizard:

  • Labor → Employees → Payroll → Deductions → Edit Deductions

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

  1. Navigate to the Workforce application .

  2. Select the Employees dropdown and select Employees.

  3. Select an Employee.

  4. In the employee’s record, select the Payroll tab.

  5. Scroll to the Benefits & Deductions section.

  6. Select, Add Deduction to open the wizard.

How to search for an employee:

Navigate to employee records with the R365 global search bar:

  1. Enter all or part of the employee’s name or email address in the global search bar.

  2. Select the employee from the results list.

Back Arrow

Returns to the Payroll section in the employee’s record. Garnishment details are not saved. To add the garnishment, restart the process.

Progress Menu

Displays the current step in the garnishment wizard. Use the menu or ‘Next’ to move between steps.

  • The first step (Description) is optional and can be skipped.

  • Required steps, such as Order Details, must be completed before advancing.

  • After completing all required steps, steps can be selected in any order.

  • The Employee Notification step includes a checkmark to indicate that notification was documented. This step is optional.

More Information

Displays contextual information based on garnishment selection.

Basic Info Step

Description

Legal Entity

Displays the company linked to the employee’s work location. This field is read-only and is set during the initial garnishment setup.

Deduction Category

All garnishment deductions fall under the ‘Wage Garnishment and Legal Orders’ category. This field is read-only and set during initial setup.

Deduction Code

Lists all available garnishment types. This field is selected during setup but can be edited before saving. Garnishment types available include:

  • Bankruptcy Order

  • Child Support

  • Creditor Garnishment

  • Federal Student Loan Order

  • Federal Tax Levy

  • Local Tax Levy

  • Other Garnishment or Withholding Order

Tax Type

This field is read-only and set based on the deduction code chosen during initial setup.

Description

Optional field for entering additional details about the garnishment.

Order Details Step

Button/Field

Description

Date Details

Date of Receipt refers to the date the employer receives the official garnishment order from a court or agency.

Effective start date is the date wage withholding begins. This date is often provided in the court or agency order and is not dependent on receipt date.

Agency Details

The details are often provided in the court or agency order.

Issuing Court Details

The state field is required and auto-fills after agency details are entered. The issuing county and court details are optional fields and the information is often provided in the court or agency order.

ID Numbers

Fill out at least one of the ID fields with the ID numbers found on the garnishment order.

Only one field is required. The user does not need to complete all ID fields.

Upload a copy of the garnishment order

Opens the file picker. Attachments must be in .jpg, .gif, .pdf, or .png format with a maximum size of 5MB.

Returns to the previous step, basic info.

Advances to the next step, employee notification.

Deduction Details Step

Frequency

Set automatically based on the selected garnishment type. The system checks each payroll payment to see if earnings are subject to garnishment.

Amount Type

Choose between a ‘Flat $ Amount’ or a ‘% of Disposable Wages.’

  • If Flat $ Amount is selected, the field reads Deduction Amount.

  • If % of Disposable Earnings is selected, the field reads % of Disposable Earnings.

Limit Type

This is an optional field. A limit is only needed if the order specifies a limit (e.g., ‘$500 max per month’).

The limit types include: Flat $ amount monthly limit, Flat $ amount each payroll payment limit, and Maximum % of disposable earnings.

Deduction End

The limit value field changes based on the limit type selected in the previous step:

  • If ‘Set effective end date’ is selected, an End Date field appears.

  • If ‘When total amount is paid’ is selected, a Total Amount field appears.

  • If ‘Ongoing until manually updated’ is selected, no additional fields appear.

Employee Notification Step

Employee Notification Checkbox

Select this box to confirm the employee was notified of the garnishment. When selected, fields appear to enter the notification date and upload supporting documents.

Date of Notification

The date the employee was notified.

Upload Supporting Documents

Select this button to create the garnishment.
