R365 Hire (powered by CareerPlug) doesn't run background checks itself. It connects to two partner providers — Verified First and Universal Background Screening — so a hiring manager can request a background check on an applicant from within R365 Hire instead of using a separate system.
What these integrations do
Verified First — runs background checks, including criminal history, employment verification, and drug testing.
Universal Background Screening — runs background checks, including employment verification and drug testing.
A client connects one provider, not both.
Which provider to use
R365 recommends Verified First for new clients. Use Universal Background Screening only if the client already has an existing account with them. R365 Hire only integrates with these two providers — background checks through other vendors aren't supported within R365 Hire.
Setting up Verified First
Register the client through Verified First's Partner Deal Registration page.
A Verified First representative contacts the client, usually within about 48 hours, to set up their chosen products and packages.
The client installs the Verified First browser extension to request background checks from within R365 Hire. [NEEDS SME CONFIRMATION] that this extension is what enables the in-app request option described below in "Where to find it" — confirm this matches current behavior before publishing.
Setting up Universal Background Screening
Contact Universal Background Screening directly (1-877-263-8033 or universalbackground.com). They review package options and finalize the client's screening program.
Universal sends the setup documents. The client completes and signs them electronically.
Universal processes the documents and sends secure login information along with instructions for running screening services through R365 Hire.
An assigned Universal representative provides training on requesting and reviewing background checks.
Where to find it
Once a provider is connected, a hiring manager requests a background check from an applicant's profile in R365 Hire. The request routes to whichever provider is connected for that client.
FAQ
Can I use a background check provider other than Verified First or Universal Background Screening?
No. R365 Hire only integrates with Verified First and Universal Background Screening. If you use a different provider today, you'll need to run background checks outside R365 Hire or switch to one of these two providers.
Can a client switch providers after setup?
Provider setup is handled directly with each provider's team. Contact the new provider to start setup, and the previous provider to close out the old account.
Does R365 charge for background checks?
No. Background check costs are billed by the provider (Verified First or Universal Background Screening), not by R365.
What happens if I select a background check option in R365 Hire and don't have a provider connected yet?
R365 Hire routes to a provider setup page that requires separate login credentials. If no provider is connected yet, contact R365 Support or the client's CSM to start setup with Verified First or Universal Background Screening first.
