The Availability tab on the Employee Form displays and manages an employee's effective-dated availability records. Managers can add, edit, and delete availability records directly from this tab.

From this tab users can:

Employee-submitted availability requests go through a separate approval workflow and are not managed from this tab.


Security

Users must have the following permission to delete future or temporary availability for an employee:

  • Labor → Employees → Schedule →

    • View Schedule Availability

    • Manage Schedule Availability

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation Menu

  1. Select Workforce from the left navigation rail.

  2. Expand the Employees category.

  3. Select Employees.

  4. Select the row for the desired employee.

  5. Select the Availability tab.

Search

Navigate to employee records with the R365 global search bar:

  1. Enter all or part of the employee’s name or email address in the global search bar.

  2. Select the employee from the results list.



Availability Tab

The Availability tab lists all availability records for the employee. Each record shows the availability type, effective date range, status, and a per-day availability grid.

Pending requests

An employee can submit an availability request. If the request has not yet been reviewed, a banner appears at the top of the Availability tab. Select the link in the banner to open the Manager Queue.

Description

Status

Indicates whether the availability is active.

Availability Type

Indicates whether the record is Recurring or Temporary.

Date range

The effective start and end dates of the record. Recurring records show only a start date.

Creator/Date Created

Indicates who created or last modified the record and when.

Daily Availability

Shows the employee's available hours for each day of the week. When there are multiple time slots of availability, they will be listed in order.

Delete (trash icon)

Removes the record. Available only for Future Recurring and Temporary records.

Edit (pencil icon)

Opens the record in edit mode. The system locks the start date for Active records.

Comment

Any comments associated with the availability record.

Add Availability

Creates a new availability record section.

Description

Start Date*

The date the availability record takes effect. Required. Locked for Active records.

End Date

The date the availability record ends. Required for Temporary records. Leave blank to create a Recurring record.

Daily Availability Toggle

Enables a day for availability. Toggling off indicates the employee is unavailable on that day of the week.

Availability Status

Indicates the availability set for the day. May be one of the following:

  • Unavailable

  • All day

  • Custom hours

Set hours

Opens a time picker to set specific start and end times for the day. Use when an employee is available for specific time slots.

Start and end time

Start and end time for custom hours.

Delete

Deletes the associated time slot. When the last time slot is deleted, the day will revery to All day.

Add time slot

Adds a second or third time segment for the day. Up to three time slots can be set per day.

Important Note Overlapping and Adjacent Time Slots

  • If two time slots on the same day overlap, a Time overlaps. error appears when the record is saved. Remove or adjust the conflicting segment before saving.

  • Adjacent time slots that share a boundary are merged automatically on save. For example, a segment ending at 12:00pm and a segment starting at 12:00pm on the same day are saved as a single continuous segment.

Comment

An optional note explaining the reason for the change.

Done

Saves the record and returns to the Availability tab.

Cancel

Discards changes and returns to the Availability tab.

Shift conflicts

When saving an availability record, the system checks for scheduled shifts that conflict with the new availability. If conflicts exist, a dialog lists the affected shifts before the system saves the record.
