Effective-dated availability records define when an employee is available to work. Two record types are available: Recurring and Temporary.


Recurring Availability

A recurring availability record has a start date and no end date. It remains in effect indefinitely from the start date forward. Recurring availability represents an employee's standard, ongoing availability schedule.

An employee can have one active recurring record and one upcoming (future-dated) recurring record at a time. When the upcoming record's start date arrives, it becomes the active record.


Temporary Availability

A temporary availability record has both a start date and an end date. It remains in effect for the defined date range, then expires. Temporary records are used for short-term changes — for example, an employee is available fewer hours during a specific period.

Multiple temporary records can coexist as long as their date ranges do not overlap.


How the System Determines Which Record Applies

On any given date, the system applies availability in the following order:

  1. A temporary record whose date range includes the date, if one exists

  2. The active recurring record, if no temporary record applies

  3. If no record applies, the employee's availability is unrestricted

Temporary Records Take Priority

When a temporary record overlaps with the active recurring record, the temporary record takes precedence for the dates it covers.
