The R365 onboarding journey begins with the Onboarding Dashboard, which outlines the foundational setup steps needed to prepare each organization for implementation. This stage helps teams establish the essential structure and configuration required to move forward efficiently.
After completing the Onboarding Dashboard, organizations continue through implementation with guidance from an R365 Implementation Specialist. The process follows a defined sequence that connects setup, configuration, and go-live preparation. Each phase builds on the last to promote accuracy, consistency, and alignment across the system.
The journey includes scheduled calls with the Implementation Specialist and access to self-serve resources that support progress along the timeline. By the time the process transitions to adoption, organizations have the structure and understanding needed to manage ongoing operations within R365.
Implementation may vary based on the R365 packages purchased. Instances can be configured for Accounting only, Operations only, or Accounting and Operations. Implementation will be specific to purchased features.
Overview of Onboarding Timeline

Onboarding Dashboard
The Onboarding Dashboard is the starting point for the onboarding journey. It guides each organization through the foundational setup required before working with an Implementation Specialist. The dashboard provides a focused view of four required steps—Legal Entities, Locations, Fiscal Years, and Business Start of Day — each unlocking in sequence as prior steps are completed. After completing the required steps, configuration can be revisited on their respective R365 administration pages.
All steps of the onboarding dashboard must be complete in order to progress to an implementation specialist.
What you need to Complete the Onboarding Dashboard:
Legal business names and addresses for each legal entity and location
Start and end dates for fiscal and operational calendars
Start time for each location's business day often determined by the POS reset time
Email addresses for users within the organization who will assist with onboarding steps (optional)
Implementation
After completing all foundational setup in the Onboarding Dashboard, the organization transitions into the implementation phase. During this phase, R365 Implementation Specialists guide training across Accounting and Operations.
Both implementations reinforce R365 best practices and establish the operational and accounting foundations necessary for long-term success in the platform.
Implementation varies based on the purchased package and may include Accounting, Operations, or a combination of both features.
For restaurants using both Accounting and Operations, setup typically begins with Accounting before moving into Inventory and Operations. This sequence establishes a strong financial foundation and ensures clean, accurate data to support operational workflows.
Accounting Implementation
The Accounting Implementation follows a structured plan focused on building and validating core financial processes. Weekly calls and practice work cover milestones such as Discovery, Money In, Money Out, Cutover, Payroll journal entries, and Banking. Each stage expands system capability and data accuracy, preparing the organization to run live financial statements and close accounting periods efficiently. The phase concludes with onboarding graduation and transition to Support and Customer Success for continued adoption.
Operations Implementation
The Operations Implementation prepares teams to manage inventory, scheduling, and recipe management within R365. Guided by an Implementation Specialist, the process moves from data setup and configuration through inventory counts, ordering, and menu management. The process follows a structured plan, combining weekly calls with practice assignments. The final weeks focus on go-live readiness, completion of daily operational workflows, and transition to Support for ongoing feature adoption.
What you Need During Implementation:
Dedicate 2–4 hours per week to implementation homework.
Ensure key contacts are available for 1-hour weekly calls.
Data provision - provide necessary data and information such as chart of accounts, vendor lists, POS summaries, etc.
