Maintaining Employee HR Management Integrations

Ongoing mapping maintenance for employee HR management integrations occurs after initial mapping and supports continued data alignment during automatic sync.

After initial mapping is complete and automatic sync is enabled, most record updates are handled automatically as HR system data changes. Ongoing maintenance focuses on monitoring these updates and addressing records that require manual attention. Periodic review is recommended to ensure data remains accurate.

During ongoing maintenance:

  • Job records are matched automatically to existing Restaurant365 jobs. New jobs may require manual creation when no match is found.

  • Employee records are matched, updated, and created automatically as HR system data changes.

Manual mapping remains available to review, correct, or update mappings when issues occur.

Locations and legal entities always require manual mapping. When adding or updating legal entities or locations, switch the integration to manual mode to ensure that initial mapping for associated jobs and employees is completed before automatic updates take effect.

The maintaining employee HR management integrations process is consistent across HR management integrations and these steps can be used for  Alliance, Workday, UKG and Netchex.


Maintaining Mapping

Jobs

Job records are matched automatically during sync. Ongoing maintenance depends on whether automatic job creation is enabled.


Automatic Job Creation Disabled (Default)

When automatic job creation is disabled, new jobs from the HR system are matched but not created in Restaurant365. If a job does not already exist in Restaurant365, a corresponding job record must be created manually.

Manual job creation is completed from the integration’s Mapping screen:

  1. On the Jobs tab, use the Unmapped quick filter to locate new jobs.

  2. In the mapping dropdown, select Create Job.

  3. Save the mappings.

R365 job records are created for all jobs set to Create Job.

Automatic Job Creation Enabled

When automatic job creation is enabled, new jobs from the HR system are created automatically during sync if no matching Restaurant365 job exists. Ongoing maintenance is typically required only to correct mismatched jobs or to manually create job records if automatic creation is missed due to sync errors.

Employees

Employee records are matched and created automatically during sync. Ongoing maintenance is typically required only to correct mismatched employees or to manually create employee records when automatic creation is missed due to sync errors.

Locations

Locations always require manual mapping. Although the system can identify suggested location matches, these suggestions are not applied until they are manually saved.

When a new location entity needs to be mapped:

  1. Switch the integration to manual mode.

  2. Map the location or save the suggested auto-match.

  3. Map associated jobs and employees.

  4. Return the integration to automatic mode after all mappings are complete.

Auto-matched locations are hidden by default. Use the Show Auto Mapping toggle to display suggested matches.

Legal Entities (AllianceHCM and UKG)

Legal entities always require manual mapping.

When a new legal entity needs to be mapped:

  1. Switch the integration to manual mode.

  2. Map the legal entity.

  3. Map locations associated with the legal entity.

  4. Map associated jobs and employees.

  5. Return the integration to automatic mode after all mappings are complete.
