Pay period groups define the name, date range, and assigned locations used to manage labor tracking in Timecards. These configurations determine how and when timecards are reviewed, closed, and prepared for payroll export.

Pay periods configured here apply only to locations not using R365 Payroll. If R365 Payroll is enabled, pay periods are instead managed through the Payroll Calendar, which becomes the source of truth for payroll processing.


Security

Users must have the following permission to access Timecard Settings:

  • Labor → Time & Attendance → View Timecards

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Navigation

Navigation Menu

Time & Attendance Settings

  1. Navigate to the Workforce tab.

  2. Select the Time & Attendance dropdown and select Time & Attendance.

  3. Click the gear icon in the right corner.

Search

Navigate to pages with the R365 global search bar:

  1. Enter all or part of the page name in the R365 global search bar.

  2. Select the page from the results list.

Only enabled pages can be searched for. If the desired page is not enabled, contact your CSM for assistance.



Pay Period Configuration Buttons and Fields

Save

Saves the pay period configuration group and applies all changes.

Close

Closes the Pay period configuration screen without saving changes.

Section Menu

Navigates between the Name & locations and Pay period sections.

Name

The name used to identify the pay period configuration group.

Set as default rule

Defines the configuration group as the default for locations not otherwise assigned.

Assigned locations

Assigns one or more locations to the pay period configuration group.

First pay period start date

The start date for the first pay period in the configuration.

Pay period preview

Displays an example calendar view showing how pay periods align based on the selected start date and frequency.

Pay cycle frequency

Specifies how often pay periods occur for the assigned locations and determines the duration of the pay period. Options are selected from the dropdown: Weekly, Bi-weekly, Monthly, or Semi-monthly
