AP Invoices and Journal Entries can be linked to a Fixed Asset. Linking a transaction records where the asset came from. When you create or update an asset from the Potential Assets screen, the system links the source transaction to the asset automatically. Linked transactions appear on the asset's Related Expenses tab once the transaction is approved.
AP Invoice Record
The 'Link to Asset' toggle in the AP Invoice header links the Invoice details to specific Assets. Once enabled, the 'Asset' column appears to the right of the 'Location' column where each detail line can be linked to a selected Asset.

The Link to Asset toggle appears on AP Invoice line items when the Fixed Assets feature is active. When the toggle is ON, the message "No financial effect to asset, information only" appears next to it.
The toggle turns ON automatically when you use the AP Invoice to create a new asset or add to an existing asset from the Potential Assets screen. No manual action is needed to link the transaction.
The link records which transaction an asset came from. It does not create journal entries or change the asset's acquisition cost.
Journal Entry
The 'Link to Asset' checkbox in the Journal Entry header links the JE details to specific Assets. Once checked, the 'Asset' column appears to the right of the 'Location' column, where each detail line can be linked to a selected Asset.

The Link to Asset checkbox appears on Journal Entry line items when the Fixed Assets feature is active. When the checkbox is selected, the message "No financial effect to asset, information only" appears next to it.
The checkbox turns ON automatically when you use the Journal Entry to create a new asset or add to an existing asset from the Potential Assets screen. No manual action is needed to link the transaction.
Related Expenses Tab
The Related Expenses tab on an asset form lists all transactions linked to that asset. The tab is read-only and disabled until you save a new asset.
The tab shows only transactions that are approved and linked to the asset. Unapproved transactions do not appear. The tab does not list the asset's own posted journal entries.
