Re-sync POS Data from the Dashboard

Prev Next

A re-sync, also called a repoll, imports POS data again for a range of business dates. Users start re-syncs on the Locations tab of the Integrations Dashboard, or from the Health tab of Integration Details.

The system queues a re-sync request when the user selects Trigger Sync. The request is not complete at that point. The Dashboard updates the status of the run until the import finishes.

Important Notes About Re-syncs

  • A re-sync cannot be cancelled. The sync is queued and the Dashboard has no way to stop it.

  • The Sync button does not appear and Trigger Sync will not work for locations that are not on R365's updated import process. R365 is working to move all customers to the newer process. Until then, Contact R365 Support to re-sync that location.

  • The Sync button is disabled (greyed out), with a tooltip that explains why, when the user lacks permission, the location is disabled, or the POS import start time has not yet been reached that day.

Security

Users must have a User Role and one of the following permissions to re-sync POS data:

  • Administration → Integrations →

    • 3rd Party POS Sync

    • 3rd Party POS Admin

The Dashboard blocks a re-sync while any daily sales summary (DSS) in the date range is approved. Users must have the following permission to remove the block:

  • Sales & Cash → Daily Sales → Unapprove Daily Sales

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.

Re-sync POS Data

Follow these steps to re-sync POS data for one or more locations:

Click steps to expand for additional information and images.

1) Navigate to the Locations tab on the Integrations Dashboard.

  1. Select Admin from the left navigation rail.

  2. Under Integrations, select Dashboard.

  3. Select the Locations tab.

2) Use Search or Filters to find the locations to re-sync. (Optional)

3) Start the re-sync on one or multiple locations.

Missing Sync Button

The Sync button does not appear and Trigger Sync will not work for locations that are not on R365's updated import process. R365 is working to move all customers to the newer process. Until then, Contact R365 Support to re-sync that location.

Choose one of the following:

  • To re-sync one location, select Sync in the row of the location.

    • To re-sync from Integration Details, select the location, open the Health tab, and select Trigger sync.

  • To re-sync several locations, select the checkbox for each location, then select Trigger Sync on the bar at the bottom of the list.

The Sync button is disabled (greyed out), with a tooltip that explains why, when the user lacks permission, the location is disabled, or the POS import start time has not yet been reached that day. Learn more about the Dashboard locations tab..

For a location that belongs to another tenant, the tooltip says to switch to that tenant. Switch to that tenant and start the re-sync there. The Trigger Sync window skips a location from another tenant.

4) In the Trigger Sync window, choose a Start date and an End date.

Both dates are required. Each date defaults to the previous day.

  • Neither date can be in the future.

  • The range can cover up to 30 dates, counting both the start date and the end date. A range of 31 dates is not accepted.

5) Review any warnings in the window.

A warning can stop the re-sync until the cause is resolved. Learn about resolving re-sync warnings below.

When several locations are selected, a warning for one location can block the whole request.

6) Select Trigger Sync.

A re-sync cannot be cancelled after this step. Select Cancel instead to close the window without syncing.

If the request cannot be sent, the window shows "Something went wrong while triggering sync." Try again later. If the message continues, contact R365 Support.

7) Review the results, then select Done.

The Sync Results window shows how many locations were triggered and how many failed. Select Show failed details to see the reason for each failed location.

Select Done to close the window. The Locations list refreshes.

"Triggered" means the sync is queued. It does not mean the data is updated.

8) Track the re-sync on the Runs & Jobs tab.

The new run appears on the Runs & Jobs tab with the trigger Manual and the name of the user who started it. Select Refresh to update the status. The outcome changes from In Progress to Completed when each stage finishes.

If a run shows Failed, contact R365 Support with the business date and the location. See Troubleshoot a Failed POS Import with the Dashboard to find the cause first.

Learn more about the Runs & Jobs Tab and Run Details.

Resolve Re-sync Warnings

The Trigger Sync window shows a warning when a re-sync cannot start. Resolve the cause, then return to the Trigger Sync step.

A Daily Sales Summary Is Already Approved

The warning links to each approved Daily Sales Summary. A single approved Daily Sales Summary blocks the whole request, including the other locations in the batch.

  1. Note the locations and dates listed in the warning.

  2. Unapprove each listed Daily Sales Summary.

    1. Users must have the following permission to unapprove a DSS:

      • Sales & Cash → Daily Sales → Unapprove Daily Sales

  3. Return to the Dashboard and select Trigger Sync again. The button stays disabled until the dates change, so choose the dates again if needed.

The DSS Status Could Not Be Validated

When the window shows "Unable to validate the DSS status. Repoll was not started. Try again later.", R365 could not confirm whether any Daily Sales Summary in the range is approved. The Dashboard blocks the whole request and sends nothing. Wait and try again. If the warning continues, contact R365 Support with the location and the date range.

A Location Belongs to Another Tenant

When the window shows that a location cannot be synced from here, the location belongs to another tenant. The Dashboard skips that location. Switch to the tenant that owns the location and start the re-sync from there.

FAQ

How many dates can one re-sync cover?

A re-sync can cover up to 30 dates, counting both the start date and the end date. The Dashboard does not accept a range of 31 dates, and neither date can be in the future. See Integrations Dashboard: Locations Tab and Integration Details.

Why is the Sync button disabled or missing for a location?

Disabled button: A user with only 3rd Party POS View Only sees the Sync buttons disabled. The button is also disabled when POS imports for the location are turned off or the POS import start time has not been reached that day. Learn more about re-syncing POS data from the Dashboard.

Missing Button: Not every location can use the Sync button. The button appears only for locations that import POS data through R365's updated import process. If a location has no Sync button, it is not on the newer process.

R365 is working to move all customers to the newer process. Until then, contact R365 Support to re-sync the location.

Learn more about the Integrations Dashboard: Locations Tab and Integration Details.

Why does the Dashboard block a re-sync because of an approved Daily Sales Summary?

The Dashboard blocks a re-sync while any Daily Sales Summary in the date range is approved. One approved Daily Sales Summary blocks the whole request, including the other selected locations. An Accounting Manager can unapprove it. See Repoll a Reconciled DSS Entry.

Can a re-sync be cancelled after it starts?

No. A re-sync cannot be cancelled after Trigger Sync is selected. The request is queued and the Dashboard has no way to stop it. Select Cancel before then to close the window without syncing. See Integrations Dashboard: Runs & Jobs Tab and Run Details.

What does Triggered mean in the Sync Results window?

Triggered means the re-sync is queued. It does not mean the data is updated. The new run appears on the Runs & Jobs tab, where Refresh updates the status. See Integrations Dashboard: Runs & Jobs Tab and Run Details.

What happens when a queued re-sync run shows Failed?

A Failed run was queued but did not finish. The cause can be a failed extract from the POS, a failed transform, or a Daily Sales Summary that was already approved. See Troubleshoot a Failed POS Import with the Dashboard to find the cause, then contact R365 Support with the business date and the location.
