Prep Management is updating to simplify setup and improve consistency across R365.

In Q1 2026, the following updates will be made to Prep Management:

  • Prep Items are being renamed to Prep Recipes.

  • Prep Recipes can now only be created from recipe items.

  • Purchased items used to create prep recipes will be migrated to recipes.

    • During the prep migration, new recipes will be created from the purchased items that were previously used to create the prep item (now prep recipes) .

    • Recipes using purchased item ingredients will instead be linked to the new recipe.

  • Recipe items added as prep recipes will automatically be marked as available for inventory.

  • The Prep section on the purchased item record will be removed.

These changes will standardize how prep is defined, managed, and forecasted, while laying the foundation for future enhancements.


Rename: Prep Items to Prep Recipes

Prep Items will now be called Prep Recipes. This change will be reflected across the Prep feature. Fields and areas previously labeled as Prep Item or Item(s) will now say Prep Recipe or Recipe(s).

Create Prep Recipes from Recipes Items Only

Prep Recipes can only be created from recipe items. Previously, both purchased items and recipe items could be used to create prep recipes. However, to better track and manage prep,  prep recipes will now be created from recipes only.

  • The Add Items panel is now called the Add Recipes panel.

  • Only recipes created in R365 will be available for selection in this panel.

Prep Migration

To support the move from prep items to prep recipes, the prep migration will convert all existing prep items into prep recipes as well as create recipe items from purchase items.  This will standardize how prep is handled across recipes while preserving existing purchasing and costing relationships.

What Happens During Migration

During the migration, the system will automatically make the following updates:

  • All prep items will become prep recipes.

    • Prep recipes can only be created from recipe items.

  • If a prep recipe was created using a purchased item, following will occur:

    • The system will automatically clone the purchased item to create a new recipe item using the same information.

    • The new recipe item will be linked to the prep recipe.

    • The original purchased item will continue to exist and remains available for use in other areas of R365.

  • If any of cloned purchased items are currently used as an ingredient on a recipe used for prep:

    • The ingredient on the recipe will now be linked to the cloned recipe item (not the purchased item).

    • The cloned recipe item will have the purchased item linked as a an ingredient to preserve the connection for accurate tracking.


Available in Inventory Status on Add Recipes Panel

The Available in Inventory status of a recipe will be shown for a recipe on the Add Recipes panel. Prep Recipes can only be created using recipes that are marked as Available in Inventory.  

When a recipe that has not been previously marked as Available in Inventory is used to create a prep recipe, the system will automatically enable the recipe for inventory and apply the default inventory values to the recipe item.


Purchased Item Record Prep Section Removed

Because purchased items will no longer be used in prep, the Prep section on the purchased item record is being removed. Only recipe items can be considered on the Prep Sheet report.
