Pre-Check Earnings Report

The Pre-Check Earnings report shows every earning tied to employees in an open pay run before payroll is finalized. The report reads live pay run data and does not change any earnings. Find it in the Reports app, under My Reports, on the Payroll tab, in the Other section.

Pre-Check Earnings does not edit or adjust earnings, include closed or finalized pay runs, support historical pay period comparisons, or submit payroll.


Prerequisites

Pre-Check Earnings requires the HCM Payroll feature to be active for the account.


Report Parameters

Field/Button

Description

Pay Run

Limits the report to the selected open pay runs; includes all open pay runs when none are selected. Each option shows the payroll company, description, pay period date range, and pay run ID together, and the search field matches any part of that label, including the ID.

Locations

Limits the report to the selected locations tied to the payroll company.

Employee Status

Limits the report to employees with the selected status: Active, Separated, or Leave. Defaults to All.

FLSA Status

Limits the report to employees with the selected FLSA status: Exempt or Non Exempt. Defaults to All.

Employment Type

Limits the report to employees with the selected employment type: Full Time or Part Time. Defaults to All.

View Mode

Detail displays one row per employee per earning code.

  • Summary displays earning code totals only, with no employee rows.

  • Group By and the filters apply in both modes.

Group By

Adds a sub-total row for the selected grouping: Earning Type, Location, Employee Status, or FLSA Status. Defaults to None. Combines with the filters above — for example, filtering to one location and grouping by FLSA Status shows only that location's employees, grouped by FLSA status.

The View, Default, Public, and Run controls at the bottom of the parameters panel work the same as they do for any report in My Reports. Read more about using My Reports.


Report Columns

The column set depends on the selected View Mode.

Detail View Mode

Column

Description

Emp #

Employee number from the employee record.

Last Name

Last name from the employee record.

First Name

First name from the employee record.

Job / Location

The job and location tied to the earning. Blank when not applicable.

Earning Code

The earning code for the line.

Hours

Total hours for the earning. Blank when the value is 0.

Rate

Rate for the earning. Blank when the value is 0.

Amount

Earning amount. Always shown, including 0.00.

When an employee has multiple earning codes in the pay run, Detail view repeats the employee's number, last name, and first name on one row per earning code.

Hours and Rate are left blank rather than showing 0.00 when their value is 0. Amount always displays, including 0.00, so a blank Hours or Rate cell does not mean the row is incomplete.

Summary View Mode

Detail and Summary views both end with a summary section: one row per earning code showing the total hours and total amount, followed by a grand total row combining every earning code. Summary view displays only this summary section, with earning code totals and no employee rows; Group By and the selected filters still apply.

Pre-Check Earnings exports to PDF in landscape orientation and to Excel. Both exports mirror the on-screen layout, including group headers, sub-totals, and the summary section. Read more about sending, exporting, or printing reports.
