This article covers the differences between the legacy Pay Run Experience and the new Pay Run Experience. The new Pay Run experience is currently in beta, but will be enabled for all customers in Q4 of 2025.
Pay Runs and Payroll Calendar
With the new Pay Run experience, Payroll Calendars are established for each payroll company to define pay periods and pay dates. The system uses these dates to automatically populate pay runs associated with the pay period, and prefill the pay date accordingly when calculating and approving a pay run.
Pull Labor Data in the Pay Run Details Page
A Pull Labor Data button has been added to the Pay Run Details page, allowing users to pull in earnings without navigating away from the payroll module. The labor data pulled is defined by the pay period dates for the associated pay run. Once labor data has been pulled, a time stamp is added to the Pay Run Details page to indicate the date and time labor was pulled. Before a pay run is finalized, users also have the option to repull labor data. Re-pulling clears all previously pulled earnings and earning edits and pulls the labor data for the pay period dates.
Unpayable Employees in the New Pay Run Experience
Unpayable employees no longer result in split pay runs, instead errors are indicated in the Pay Run Summary Details screen.
Pay Run/Payment Errors
Easily identify errors in a pay run on the Pay Run Details screen. When there are critical errors in a pay run, an error will alert the user and link to the unpayable employees page for further investigation. Quick filters have also been added to the Pay Run Details page to give users the option to focus on payments that need attention.
Off-Cycle Pay Runs
Create Off-Cycle Pay Runs for processing payments outside the established Payroll Calendar. These pay runs are manually created from the Payroll Overview page and configured in the Off-Cycle Pay Runs window where the the tax method, pay period dates, and pay run description are set. Once created, earnings or deductions can be imported to the off-cycle pay runs. Funded Off-Cycle Pay Runs generate standard journal entries to record the associated financial activity.
