The My Availability screen of the R365 app displays an employee's availability records and submitted availability requests. Availability is grouped by status so employees can see what is currently in effect, what has been approved for a future date, and what is awaiting a manager's review.

From the My Availability page employees can:

  • Manage availability

  • View pending availability requests

  • Cancel a pending availability request


Navigation Menu

  1. Select More from the bottom tab bar.

  2. Select My Availability.


Availability Types

There are two types of availability: recurring and temporary.

Recurring

A recurring availability record has a start date and no end date. It remains in effect indefinitely from the start date forward. Recurring availability represents an employee's standard, ongoing availability schedule.

An employee can have one active recurring record and one upcoming (future-dated) recurring record at a time. When the upcoming record's start date arrives, it becomes the active record.

Temporary

A temporary availability record has both a start date and an end date. It remains in effect for the defined date range, then expires. Temporary records are used for short-term changes — for example, an employee is available fewer hours during a specific period.

Multiple temporary records can coexist as long as their date ranges do not overlap.

How the System Determines Which Record Applies

On any given date, the system applies availability in the following order:

  1. A temporary record whose date range includes the date, if one exists

  2. The active recurring record, if no temporary record applies

  3. If no record applies, the employee's availability is unrestricted

Temporary Records Take Priority

When a temporary record overlaps with the active recurring record, the temporary record takes precedence for the dates it covers.

Availability Records List

Lists availability all current, upcoming, or pending availability records currently in effect for the employee.

Availability record

An individual entry in the availability list. Displays the status (Upcoming, pending approval, etc.) , request type (Recurring or Temporary), the effective date(s), and the selected availability for each day of the week.

Edit

Opens the availability record for editing.

Discard / Cancel

Withdraws a Pending Approval request and removes it from the list. Appears on Pending Approval entries only.

Create

Opens the availability request form. Tap to begin a new recurring or temporary availability request.
