Labor Scheduling onboarding is a guided setup process for organization’s activating Scheduling. It walks a user through confirming its team and jobs, assigning employees to job roles, and building and publishing its first schedule.
The process opens from a setup card on the Home dashboard and can be reopened at any point until setup is complete. Progress saves automatically after each step, and reopening the setup card returns to the last completed step. The process uses the same Employees, Jobs, and Schedule functionality documented in R365 Scheduling Quick Start Guide — this process is a guided path through initial setup, not a separate feature.
Security
The labor widget is available to view by users with the following permission:
Administration → Dashboards → Home Dashboard → View Home Dashboard
Additionally, the following permissions are associated with the labor scheduling setup, including permissions related to jobs, employees, and scheduling:

Home Dashboard Setup Card
The setup card appears only for users with the appropriate permissions when an organization has enabled labor scheduling, configured at least one employee and one job, but has not completed setup.
It does not appear for organizations that were already using Scheduling before this setup process existed.
The setup card's appearance changes as setup progresses:
Not started: Titled Set up labor scheduling with a Review and create first schedule button.
In progress: Titled Continue labor scheduling, with a setup progress bar and a Resume setup button.
Team and jobs confirmed (schedule needed): Titled Create your first schedule with a completed setup progress bar and a Create schedule button.

Once a user in the organization publishes the first schedule, setup is complete and the card no longer appears on the Home dashboard.
Setting Up Labor Scheduling
Follow these steps to complete Labor Scheduling setup:

1 ) Click Review and create first schedule to begin the labor scheduling setup.

2) Confirm the team. Add or edit employees as necessary.
The team members grid lists existing employees, with search, filter, and column controls. This grid reflects the employees list on the Employee page.
Click Add employee to open a blank employee record.
Click an existing employee row to open and edit that employee's record.
Use the checkbox to select one or multiple employees to merge or bulk edit (add/remove app access or make active/inactive).
Select Next to continue.

Next stays disabled until there is at least one employee. When suggestive employee merge is enabled and the system has identified possible duplicate employee records, a View Proposed Merges action also appears on this step. See Proposed Merges Wizard.
3) Confirm jobs. Add or edit jobs as necessary.
The jobs grid lists existing job roles, with search, filter, group, and column controls.
Click Add job to open a blank job record.
Click an existing job row to open and edit that job record.

Select Next to continue.
Next stays disabled until there is at least one job.
4) Review job assignments.
The job assignments grid lists each employee, primary location, and assigned job roles, filterable by All, Assigned, or Unassigned.
Click Add role to assign a role to an employee.
For an employee with no assigned jobs, click Assign a role to open that employee's record to the Employment tab.

Select Continue to move to the Schedule page.
Continue stays disabled until at least one employee has an assigned job. Completing this step moves to the Schedule page but does not complete setup. Setup finishes after the first schedule is published (Step 5).
5) Build the first schedule.
Build the first schedule on the Schedule page. See Create and Edit Schedules for more information.
To create a new shift, double-click into an empty space in the row of any employee, or click New Shift at the top of the screen. This will open the Create New Shift window where a shift can be configured.

5) Publish the first schedule.
Publish the schedule from the Schedule page. See Publish or Unpublish Schedules. Publishing the first schedule completes setup, and the setup card no longer appears on the Home dashboard.

What happens if a step does not have enough data to continue?
Next or Continue stays disabled until at least one employee, one job, or one job assignment is configured, depending on the step. See R365 Scheduling Quick Start Guide for help adding employees and jobs.
Can setup be paused and finished later?
Yes. Progress saves automatically after each step, and reopening the setup card returns to the last completed step.
What if I don’t know how to create or publish a schedule?
What if the system finds possible duplicate employee records while confirming my team?
When suggestive employee merge is enabled, a View Proposed Merges action appears, letting duplicate records be merged or ignored before continuing. See Proposed Merges Wizard.
