The Full Time Equivalent Report provides a count of full-time equivalent (FTE) employees across a selected date range and set of locations. Use this report to support workforce eligibility reviews, including ACA and PTO eligibility.
The FTE Hours per Month value is fixed at 120 and displays as read-only text in the Customize panel. Hourly employees who average 120 or more hours per month are counted as full-time equivalent. Salaried employees are always counted as full-time, regardless of hours worked.
Important Note About FTE Results
The full-time equivalent counts shown on this report are for estimation and informational purposes only. A formal audit should be conducted for employees reported as potentially full-time eligible.

Security
The following permissions are required to access this report:
Labor → Employees → Employment → View Hourly Pay Rates
Labor → Employees → Employment → View Salary Pay Rates
These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.
Run the Full Time Equivalent Report
Follow these steps to run the Full Time Equivalent Report:
Open the Reports app.
Select My Reports from the left navigation.
Enter all or part of the report name in the Search bar. The Results tab opens with matching reports.
Under Full Time Equivalent Report, click Run to use the current saved view, or click Customize to set parameters before running.

If Customize was selected, set the report parameters, then click Run.

Export, Email, or Print the Full Time Equivalent Report
This report can be emailed, exported, or printed in custom formatting directly from the reporting window. Learn more about how to send, export, or print this report.

Report Summary

The top of the report displays the following counts for the selected date range and locations:
Metric | Description |

Date Range | The date range the report was run for. |
FTE Avg Hours per Month | The fixed threshold used to classify hourly employees as full-time equivalent. Always 120. |
Salary | Count of salaried employees included in the report. Salaried employees are always counted as full-time. |
Current Full-time Hourly | Count of hourly employees on the report with a Current Employment Type of Full Time. |
Part-time FTE | Count of hourly employees who averaged 120 or more hours per month during the reporting period. |
Total FT+FTE | Sum of the Salary, Current Full-time Hourly, and Part-time FTE counts. |
TTL Employees | Total count of employees displayed in the report. |
Report Columns
The following table describes each column in the Full Time Equivalent Report:
Employees marked as Exclude from Payroll are not included in this report.

Primary Location | The employee's primary location. |
Worked Location | The location the employee works. |
Employment Status | Active or Inactive. Displays Inactive if the employee's Separation Date is before today's date. |
Employee Name | The employee's last name followed by their first name. |
Pay Type | Hourly or Salary. Blank if not set on the employee record. |
Current Employment Type | The employment type as set on the employee record: Part Time or Full Time. |
Actual Employment Type Since Active | The employment type based on actual hours worked during the reporting period. Full Time if the employee averaged 120 or more hours per month during active months on the report, or if the employee is salaried. Part Time otherwise. |
Correct in System | Indicates whether the employment type should be updated in R365.

Verified fixed in R365 | If Correct In System is False, the user can mark this space to indicate that the Employee record has been updated. |
90 Day Avg Rate | The employee's average rate of pay over the past 90 days, calculated using the same method as the PTO Liability Report. |
Hire Date | The date the employee was hired. |
Termination Date | The date the employee's employment ended. Displays a dash if no separation date is set. |
Avg Hours Per Month Worked | The employee's average hours per month across the entire reporting period, including months with zero hours in the calculation. |
Average Hours per Active Month | The employee's average hours per month, excluding months with zero hours from the calculation. |
Average Hours over the Last 3 Months | The employee's average hours per month for the last three months of the reporting period, including months with zero hours. |
FAQ
Why don't I see the same columns as the old FTE Estimation report, like Correct In System or 90 Day Avg Rate?
The Full Time Equivalent Report replaces the older FTE Estimation report and uses an updated set of columns. Correct In System, Verified Fixed in R365, Primary Location, Worked Location, Active, Termination Date, and 90 Day Avg Rate were removed, and Employment Status, Separation Date, [Month] Hours, and [Month] Pay were added to better reflect current employment data. Can I change the FTE Hours per Month value from 120?
No. FTE Hours per Month is a fixed, read-only value in this report and always displays as 120. Hourly employees who average 120 or more hours per month count as full-time equivalent, and salaried employees always count as full-time.
What if the report shows no employees for the location and date range I selected?
A blank report is usually caused by incomplete report parameters, an unassigned fiscal year, or missing information on employee or job records. Review your Location and Date Range selections first, then see Troubleshooting a Blank Report for the full list of causes.
How are employees who work at more than one location counted in this report?
The Location column reflects each employee's primary location. If an employee works at multiple locations, learn how primary and worked locations are set on the Employee Record article.
