Delete Future or Temporary Availability

Future recurring and temporary availability records can be deleted from the Availability tab. Active recurring records cannot be deleted.

Active Recurring Records Cannot Be Deleted

The delete option is not available for the active recurring record. To replace it, add a new future recurring record with the desired start date.


Security

Users must have the following permission to delete future or temporary availability for an employee:

  • Labor → Employees → Schedule →

    • View Schedule Availability

    • Manage Schedule Availability

These permissions can be added to custom user roles or individual users. The Permission Access report can be used to determine which user roles or users already have these permissions assigned. For more information, see User Setup and Security.


Availability is managed from the Employee Record Availability tab.

Navigation Menu

  1. Select Workforce from the left navigation rail.

  2. Expand the Employees category.

  3. Select Employees.

  4. Select the row for the desired employee.

  5. Select the Availability tab.

Search

Navigate to employee records with the R365 global search bar:

  1. Enter all or part of the employee’s name or email address in the global search bar.

  2. Select the employee from the results list.



Delete Future or Temporary Availability

Open the employee record in which availability needs to be deleted. Then:

  1. On the employee’s Availability tab, locate the future or temporary availability to delete:

    • Future recurring availability: Look for a card titled "Recurring Availability starting [date]"

    • Temporary availability: Look for a card titled "Temporary Availability starting [start date] through [end date]"

    The base recurring availability record cannot be deleted. Only future recurring and temporary availability can be deleted.

  2. Click the trash can button on the availability card to delete.

    This action is permanent and cannot be undone.

  3. Click Delete to confirm and permanently remove the availability record.

The availability is immediately removed from the employee's record. If the deleted availability was temporary and currently active, the system automatically reverts to the employee's recurring availability pattern.
